Executive Assistant, C-Suite
West London (nearest station Paddington),
Hybrid (Typically 4 days a week in the office, upon completion of probation)
Requirement for candidate flexibility to work 5 days and out of hours from time to time
Permanent, full-time
Usual office hours: 8 am to 5 pm
The Role
Our client is an award-winning FTSE 250 financial services firm based in stunning offices in West London. They are looking for an exceptional Executive Assistant with a ‘can-do’ attitude to join the team and support two C-Suite executives.This role would suit a highly personable individual who is confident managing two very different senior executives. It requires someone who can calmly adapt to a busy and dynamic environment and who is not easily fazed by last-minute schedule changes.
As a newly created role, it is important that you can add value from day one: you will be able to work independently and have processes to bring to the table, and an understanding of how to build relationships from the start. Ideally, you will have at least 3 years of prior experience supporting in a similar role. You will be highly organised, efficient and not easily overwhelmed.

Responsibilities
- Managing the executives’ diaries, coordinating internal schedules for meetings, external visits, appointments and calls;
- Seeking efficiencies and improvements in current processes;
- Processing expenses;
- Providing occasional personal support, such as booking personal travel and appointments;
- Arranging international and domestic business travel for the executives and their guests;
- Preparing ad hoc documents andpresentations;
- Liaising with clients, colleagues and others on the executives’ behalf;
- Arranging external lunches and dinners as required;
- Printing and binding of documents;
- Supporting the organisation of events, including staff parties and training sessions;
- Providing holiday cover for other administrative positions;
- Ad-hoc tasks as required.
Requirements
The ideal candidate will:
- have a minimum of 3 years’ prior experience as an assistant, ideally supporting senior executives
- have high attention to detail and ability to manage multiple priorities
- have a flexible and open-minded approach to all areas of their work
- be a confident communicator, happy to approach senior stakeholders
- have a self-starting and proactive mentality, enjoying working independently and collaboratively
- have a personable, professional approach: this is a people-facing role;
- enjoy working in a fast-paced and high-performing environment.
