A leading merchant investment firm is seeking an experienced Executive Assistant to join its London office. This role provides comprehensive support to a Senior Management Team member and their wider organisation. The position requires a highly adaptable and proactive administrative professional who can also assist multiple business units, ensuring seamless coordination and efficient operations across the firm.

Key Responsibilities

Executive Support

  • Provide high-level administrative support to a Senior Management Team member and their team.
  • Manage complex and demanding calendars, including scheduling internal and external meetings and conference calls across multiple time zones.
  • Coordinate extensive domestic and international travel arrangements, including itinerary management, expense tracking, and invoicing.
  • Prepare, edit, and format correspondence, presentations, reports, and other documentation.
  • Prepare and distribute meeting agendas and materials, including PowerPoint presentations.
  • Process and submit weekly expense reports via Concur and handle paper submissions as required.
  • Manage invoice processing and tracking.
  • Handle incoming calls and welcome visitors at the London office reception.
  • Maintain confidentiality and handle sensitive information with the utmost discretion. Collaborate effectively with colleagues across the firm’s global offices and administrative teams.
  • Assist in planning and coordinating office events, meetings, and conferences, including logistics and catering arrangements.

Qualifications & Experience

  • Minimum 5 years’ experience in an Executive Assistant or senior administrative support role within a fast-paced, professional environment.
  • Experience in a smaller office setting and supporting multiple stakeholders is highly desirable.
  • Exceptional organisational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Proven ability to prioritise and manage competing demands in a deadline‑driven environment.
  • Strong sense of professionalism, discretion, and integrity in handling confidential information.
  • Demonstrated ability to build strong working relationships and collaborate effectively across all levels of the business.
