London-based Event Profs!
We are supporting our events agency client with their search for a dynamic and organised Events Project Coordinator to join their growing agency.
As an Events Project Coordinator, you will play a pivotal role in the planning, execution, and coordination of a wide range of events, from corporate conferences and exhibitions to experiential activations. You will also work on wider full-service projects including creative, digital, and video production.
Your attention to detail, strong communication skills, and ability to manage multiple tasks simultaneously will contribute to the success of our clients\' events and the overall growth of their agency.
Location & Salary
Location: London (Central - 3 days in office per week)
Salary: £26,000–£28,000
Requirements & Experience
Requirements: Must have a full driving licence and access to a car
Experience: Ideally 1+ years in the events industry (in-house or agency)
Key Responsibilities
Project Management
- Assist in the planning, coordination, and execution of events from concept to completion, adhering to timelines, budgets, and client specifications.
- Collaborate with clients to define event objectives, themes, and desired outcomes.
- Develop comprehensive project plans, timelines, and task lists for each event, ensuring all elements are seamlessly integrated.
Logistics Coordination
- Source and liaise with vendors, suppliers, and venues to secure resources, negotiate contracts, and manage logistics.
- Coordinate transportation, accommodations, catering, AV equipment, décor, and other event-related services.
- Oversee event setup and teardown, ensuring the event space is delivered according to client vision.
Communication & Client Relations
- Serve as the main point of contact for clients, maintaining regular communication and providing updates.
- Address client inquiries, concerns, and feedback promptly and professionally.
- Build strong client relationships by delivering exceptional service and exceeding expectations.
Team Collaboration
- Work closely with cross-functional teams, including designers, marketers, and production staff, to ensure cohesive event execution.
Budget Management
- Assist in developing event budgets, tracking expenses, and ensuring adherence to financial guidelines.
- Monitor costs and make recommendations to optimise budget allocation.
On-Site Event Coordination
- Oversee on-site operations, ensuring smooth execution, problem-solving, and quick decision-making as needed.
- Coordinate with event staff, vendors, and partners to manage event flow, timing, and attendee experience.
Qualifications
- Bachelor’s degree in Event Management, Hospitality, Marketing, or related field (or equivalent experience).
- Proven experience in event coordination or project management (1+ years), ideally within an agency or in-house.
- Strong organisational skills and attention to detail.
- Excellent interpersonal and communication skills.
- Proficiency in Microsoft Office and project management tools.
- Full UK driving licence and access to a car (essential).
- Ability to thrive in a fast-paced, deadline-driven environment.
- Flexibility to work evenings and weekends when required.
- Proactive, adaptable, and passionate about delivering exceptional event experiences.
