Key Responsibilities Operational delivery: Undertake and be accountable for day‑to‑day operational delivery of all administrative tasks for the Trust‑wide Travel and Transport services, including internal and external delivery, compliance, and efficient running of the department. Use Trust IT systems and external databases to ensure accurate information is recorded. Prepare management information from data sources and analyse the data to present for review. Organise formal meetings, calendar invites, room bookings, agendas, transcription of minutes, and distribution of minutes and actions to staff. Capture minutes and actions from departmental, contractor, and customer meetings. Process data requests within Travel and Transport systems, ensuring accuracy and adherence to the Data Protection Act. Assist with departmental audits and ensure timely submission of results. Maintain the departmental diary to capture sickness, annual leave, and training days to ensure the service is covered. Customer service: Assist customers through face‑to‑face, email, or telephone contact. Undertake investigations into complaints and provide findings to the Head of Travel and Transport, ensuring sensitive handling and corrective action where necessary. Capture all complaints and Freedom of Information requests, ensuring timely replies. Update policies and SOPs under the direction of the Head of Travel and Transport. Deliver communication requirements for the Travel and Transport service to internal and external organisations, ensuring consistency and accuracy of approach and content. Governance and assurance: Capture and support risk management across the department, assist line manager with the departmental quality plan, keep abreast of national best practice, CQC standards and best practice initiatives. Support and promote a culture of improvement and innovation. Deliver area‑wide audits and assessments of delivery to offer compliance assurance. Service development: Act as the communication hub for the department in customer and contractor interactions. Demonstrate high levels of customer care and be an ambassador for customer care within the Trust. Resolve complex queries and ensure accurate information distribution. Support system‑wide partnerships and collaborate with other service partners. Finance and physical resources: Deliver all departmental financial processes, including raising and receipting purchase orders, ensuring compliance with the Trust’s Financial Standards. Support the departmental delivery area budget and identify service improvements in line with business planning targets. Prepare financial information for performance management and service development. Information management: Adhere to data protection procedures and information governance. Present information and issues in a timely, clear, and concise format to stakeholders. Health, safety and security: Attend statutory and mandatory training, act responsibly for colleagues’ health and safety, and identify training needs. Education, training and self‑development: Undertake training required for effective use of all department systems. Identify own training needs and participate in individual performance reviews. Deputise for and assist the Head of Travel and Transport as required. Qualifications & Experience Essential
