Main purpose of the job: As a member of the University's Academic Registry, the Academic Services Manager's primary function is to ensure that administration of the student-related academic cycle, including induction, enrolment, assessments, and retention activities, is managed in line with the University processes, the Academic Regulations, and Quality Assurance standards.
This role supports key planning activities for academic departments and manages the interface between departments and other areas of university administration by commissioning support from central services when needed. Effective communication at all levels and between different functions and stakeholders is essential to maintain a collaborative and professional profile.
Strong team leadership is crucial, with demonstrable management experience to ensure the team is committed to high standards of customer service to all stakeholders, including students.
Through a formal reporting line to the Deputy Academic Registrar (Academic Services), the role holder will keep the team updated on academic regulations, ensure administrative activities are compliant, and support the implementation of new systems or university-wide projects.
Main duties and responsibilities:
- Manage all aspects of administration of the taught and research student-related academic cycle for standard and collaborative programmes within departments, coordinating with the Deputy Academic Registrar to ensure alignment with university processes and systems.
- Oversee administrative support for programme validation and periodic reviews in the department.
- Provide positive leadership and line management to teams, developing and supporting administrative staff to maximize effectiveness and improve the student and staff experience.
- Ensure excellent customer service across all communication channels, referring stakeholders to appropriate support sources when needed.
- Provide management information and reports to internal and external stakeholders.
- Support Deans and other staff with university administration proactively and promptly, emphasizing customer service, including:
- Implementing administrative policies, procedures, and systems related to academic programmes.
- Managing the annual schedule of work for the student-related cycle, including induction, enrolment, attendance, assessment, and retention activities.
- Coordinating departmental responses to information requests from other parts of the University.
- Supporting additional requests from Deans and stakeholders regarding academic administration.
- Liaising with HR Partners on employment matters, including recruitment and employee lifecycle issues.
- Ensuring operational compliance with regulatory requirements such as records retention, data protection, health and safety, and adjustments for disabled students.
