Job Vacancy: Academy Operations & Administration Coordinator

We are pleased to announce that we are currently looking for an Academy Operations & Administrator Co-Ordinator for our Training Academy in Knutsford. This role would suit an individual who is very proactive, enthusiastic and has a can-do attitude. In this pivotal role, you’ll ensure our Academy runs smoothly day-to-day, while supporting the apprenticeship journey from application to completion.

Responsibilities

  • Coordinate internal apprenticeship application processing with the careers team.
  • Verify apprentice eligibility in line with DfE Apprenticeship Funding Rules.
  • Process apprentice applications through to the enrolment pipeline.
  • Oversee the Academy office environment, post handling, and supplies.
  • Manage the training room diary, training admin mailbox, and incoming queries.
  • Welcome and host visitors, ensuring a professional and friendly reception.
  • Liaise with maintenance providers and arrange office-related orders.
  • Provide direct support to Senior Management, including minute-taking and reporting.
  • Order and maintain stock of office and training materials.
  • File apprentice certificates into online evidence packs and arrange their posting.
  • Organise internal events, meetings, and catering requirements.
  • Represent the Academy with professionalism and positivity at all times.
  • Carry out general administrative duties as required.

Ideal applicants will possess

  • Excellent organisational skills and telephone manner with the ability to work as part of a busy team as well as using your own initiative.
  • Excellent communication skills.
  • Self-motivated, calm and professional whilst working in a busy office environment.
  • Good ICT skills with working knowledge of Microsoft Office, particularly Excel.
  • Accuracy in updating records with tact, discretion, and respect for confidentiality (GDPR).
  • Experience working in apprenticeships and knowledge of the DfE apprenticeship funding rules is advantageous but not essential.
  • Full, clean driving license and use of a vehicle.

This recruitment opportunity offers the successful candidate a competitive salary (dependent upon qualifications and experience) and pension whilst working within a highly professional training and education team. Full time positions available. This is a hybrid role.
