Administration Officer - play an integral part in supporting the team, providing administrative and clerical support, enabling us to focus on delivering our services, ensuring our service users receive the help and support they need to achieve their goals.
ROLE DESCRIPTION
Administration Officer
Hours of Work:
10 hours per week to be worked within normal working hours over 2 days with flexibility to work some Fridays. Normal office hours are from 9.00 to 17.00 with an hour for lunch (unpaid), Monday to Friday.
There may be occasional need to work in the evenings and at weekends, requiring flexibility, with time off in lieu provided.
Duration of Post:
Permanent, subject to funding. There is a 6-month probationary period.
Remuneration: £13.41 per hour
Travel Costs: As per HMRC mileage rate (currently 45p). Commuting between home and the main office is not covered.
Area of Remit: Sutherland and Edderton.
Location: Base at Lairg Community Centre, Main Street, Lairg, IV27 4DB. Hybrid working options available—please contact us to discuss.
MAIN TASKS
- The Administration Officer is responsible for general office duties, maintaining membership records, manning the office, and answering enquiries. Develop efficient systems where appropriate.
- Providing daily office duties including filing, typing, record-keeping, issuing receipts and invoices.
- Coordinating membership services such as issuing information on services, word-processing, scanning, comb-binding, laminating, using lotteries licence, and desktop publishing (design of posters, leaflets, etc.), by appointment.
- Taking minutes at Board meetings, AGM, and other meetings, ensuring distribution of minutes and agendas in advance.
- Supporting specific projects delegated by the Chief Officer, including maintaining records for funding schemes, minute-taking for non-VGS meetings, Facebook interactions, and other project work.
- Supporting the independent examination of annual reports and accounts for small charities, maintaining records for compliance.
- Maintaining accurate records using the Charity Log database and other data systems used by VGS.
- Performing additional tasks to ensure efficient delivery of organisational objectives and the HTSI Workplan.
- Preparing reports, articles, and monitoring requirements; attending staff and other meetings as required.
