We are searching for the best talent for Administration Specialist to be in High Wycombe, Buckinghamshire.
Purpose: This role will provide specific administrative support to various parts of the business; these will include but not limited to Operational Excellence and Sales and Marketing teams.
As a member of the Admin Centre of Excellence you will expect to work in a fast-paced environment where there is a variety of tasks you will take ownership for as well as working as part of a team. You will be encouraged to look at ways to streamline the admin support we offer and look for areas of efficiency.
You will be responsible for:
Marketing Administration:
- Logistics of sales meetings (generally 2-3 times per year). This will include agreeing venue with the project lead, handling the venue details, attendees, catering and any other logistical items. This can be offsite and at head office.
- Sourcing and creation (with an agency) of giveaway items (notebooks, hoodies etc).
- Internal communications and announcement emails.
- Creating and maintaining marketing and sales team org charts.
- Managing group outlook email distribution lists.
Recruitment Administration:
- Administration for assessment days (printing materials, booking meeting rooms, adding visitors to the internal system).
- Looking after logistics on the day of the events. This will involve meeting the candidates, showing them to their base for the day, checking in on them throughout the day and collaborating closely with the assessor team to check they have everything they need (the team may be in the office or supporting remotely or a mix).
General Administration Duties:
- Upload Company Contracts to the data base – general document management and records Coordinator.
- Maintenance of SharePoint sites and distribution lists.
- Support for Senior Leadership Team (as and when required).
Qualifications / Requirements:
- Excellent written and verbal communication skills.
- Strong organisational and time management skills, with the ability to prioritise tasks effectively
- Proficient in office software, including Microsoft Office Suite, video conferencing platforms (Zoom/Teams) as well as foundational knowledge of Gen AI tools and applications.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently as well as part of a team.
- Adaptability and willingness to learn new skills, particularly in Gen AI technologies.
- Experience working in an administration role.
