This role is based in our office in Southampton with Mondays and Fridays working from home.

Basic Purpose

The Air Operations Coordinator is a key role within the Guest Services team of Regent, providing information and booking of air services to the internal Guest Services team in the UK office as well as servicing calls from the Outbound Team based in Miami. Knowledge of air product and airlines is paramount to ensure the best air schedule is booked for our guests.

This is a varied role that includes air related activities, air pricing and planning, Staff Travel, and organising special departures for bespoke Concierge Collection land packages. The role requires delivering excellent customer service, responding to calls and emails in a timely manner, and ensuring accuracy to support profitability and company goals. The ability to multi-task in a busy team environment is essential, along with liaising with colleagues as workload requirements arise. The team also provides an Out of Hours Emergency Telephone service, covering Regent and Oceania, with round-the-clock guest assistance. A background in reservations, guest relations or operations is advantageous.

Position Responsibilities

  • Ticketing: issue various air tickets (nett/BT/IT/Cat 35/published fares) with correct fare, taxes, fees, and endorsements; process refunds and re-issues when required.
  • Airline Contracts & Pricing: identify best price and flight options, calculate appropriate air supplements, understand fare rules, monitor airline offers, and keep all departments updated on changes.
  • Group Flights & Allocations: monitor availability, optimize group space, minimize penalties, and prepare group data for ticketing.
  • Reporting: pull and manage reports from GDS (Sabre) and reservation systems (NVS); assist with BSP reconciliation and data preparation for loading into systems.
  • Cruise Pricing: assist with pricing and distribution of fares and special offers; liaise with MD & Sales for distribution to agents and promotions in the Reservation system.
  • Corporate Travel Requests: book and ticket corporate travel (air, hotel, UK transfers) in accordance with policy and approvals.
  • General & Other Duties: quality check flight and transfer details, update manifests, manage queues in GDS, update PNRs, handle deviations and bespoke itineraries, and coordinate pre/post cruise packages with ground agents.

Experience

  • Airline knowledge
  • Ideally 2-3 years’ experience in a similar role
  • Fares & Ticketing qualifications or equivalent experience
  • Customer service experience

Competencies / Skills

  • GDS experience (Sabre, Amadeus, Travelport) and ticketing
  • Knowledge of air contracts and nett fares
  • Experience issuing various ticket types
  • Customer-focused with strong communication and listening skills
  • Strong product and destination knowledge
  • Attention to detail, strong organizational skills, IT literacy
  • MS Office proficiency (Excel, Word)
  • Ability to multi-task in a fast-paced environment; resilient and flexible
  • Team player and well-presented
