Job Description

Overall Purpose of the role

To provide administrative and general support to the Senior Manager and the Project Funding team.

Main day to day responsibilities

You will act as first point of contact within the team and provide routine information, advice and guidance on investment, including following up requests for information and responding to queries. In addition, you will maintain relationships with staff across the organisation and external stakeholders to ensure the successful delivery of our investment.

You will be providing support to the Senior Manager and the team, ensuring optimal use of time by coordinating meetings and assuring that the Senior Manager is well briefed in advance, commissioning briefings and undertaking research as necessary.

You will be servicing and event-managing internal and external business meetings and co-ordinating administrative processes: collating and distributing agendas and papers, note taking and following-up on actions, and providing support for other committees or groups, as required. You will also support briefing and training sessions.

You will also provide administrative support to the team, establishing and maintaining databases and other information and office systems and coordinating team activities as required. In particular, you will support the team to maintain an accurate audit trail of the end-to-end business process for our Investment, updating the grant database and filing systems as required.

Working with the Senior Manager, you will undertake financial transaction processing (e.g. raising purchase orders) to maintain accurate records of expenditure.

You will support Funding Programmes team members in intervention processes as required, including administering client handling groups and maintaining files and folders in line with agreed protocols.

You will provide administrative support for the Director, Funding Programmes as required from time to time.

You will undertake other routine administrative tasks as required eg mail-outs and filing.

You will work flexibly and accurately to support the work across the Investment Team working with staff on specific tasks as directed by the Investment Centre Directors or Senior Managers. This includes providing sufficient cover to all teams, at all times, especially during busy work periods and to cover annual leave.

You will work closely with all members of the Investment Centre and other staff across the organisation.

Essential (Skills, Knowledge and Behaviours)

To succeed in this role you will have proven administrative experience of supporting different colleagues and managing conflicting demands.

You will also ideally have some experience or understanding of grant funding programmes. An understanding of the arts and cultural business environment would be desirable.

You will be highly organised with the ability to work on own initiative and juggle multiple priorities when organising, planning and managing complex tasks. You will be able to work with a high level of attention to detail and with the ability to prioritise and juggle multiple priorities.

You will have good interpersonal and communication skills – both speaking and in writing – and the ability to communicate in a confident and engaging manner and influence individuals over whom there is no formal line-management relationship.

You must be numerate, have good research skills and the ability to interpret complex information.

Finally, you will have a good understanding of the Arts Council’s duty as a public body under current equality legislation, the current diversity agenda and its relationship to creativity and culture.
