Primary Purpose Of The Role

Business Support Partners (BSP) provide highly proactive business support and demonstrate effective partnering with members of the Leadership Team, first line and peers across Thales UK. BSPs work autonomously or as part of a team, make sound decisions on behalf of their Directors, and act with discretion and confidentiality. They provide and manage organisational support to other functions, programmes and sites, and deputise in the absence of the BSM when needed.

Key Tasks And Responsibilities

  • Own and manage the Director’s diary to prioritise business priorities and reduce waste.
  • Coordinate the organisation and preparation of meetings across multiple time zones; produce agendas, reports, attend/participate in meetings and capture actions/minutes.
  • Manage complex travel itineraries and visas where required; monitor budgets and ensure documentation and security processes are completed prior to travel.
  • Provide high-level email management for self and Director.

Examples Of Business Support Required Across Functions And Programmes

  • Marketing and events: organise, support and coordinate events; proficient in use of event management systems for attendee management.
  • Communications: draft and proof-read communications, coordinate site communications plans, and publish on intranet (e.g., organisation charts).
  • Support UK Lead and site initiatives; participate in Thales UK meetings; manage two-way communication with the Business Support Team to ensure processes and costs are delivered.
  • Undertake ad hoc projects, provide research, and prepare reports/presentations summarising findings.
  • Create, manage and champion policies and processes; provide cover for other BSPs as needed.

Skills/Experience

  • High level business awareness with excellent verbal and written communication; professional interaction with internal and external stakeholders.
  • Ability to prioritise workload and deliver high-quality work within deadlines with minimal rework.
  • Independent working capability; self-motivated and enthusiastic; credible in representing Directors/Managers.
  • Strong organisational skills with the ability to manage stretch deadlines; proactive problem-solving.
  • Ability to think on feet, make decisions under pressure, and maintain composure; people management and leadership where applicable.
  • Relationship-building within the Business Support Community and with senior leaders; discretion handling confidential information.
  • Proficiency in MS Office (Outlook, Word, Excel, Visio, PowerPoint) and excellent English language skills.

Security Clearance
