Team Assistant
We are looking for a candidate with a genuine passion for advertising, who is eager to take their first steps into the industry. The ideal candidate will be proactive, detail-oriented, and highly organised, with excellent communication skills and the confidence to thrive in a fast-paced, ambitious team.
Responsibilities
- Act as the primary point of contact for scheduling, diary management, and meeting coordination (internal and external).
- Liaise and build a relationship with key clients (Maria, Jo) PA’s and work together to navigate busy diaries.
- Work with Project Management and Account Management to prepare agendas, circulate meeting materials, and capture/distribute meeting notes and action items.
- Help to manage team travel and logistics (including client meetings, shoots, and events).
- Help to maintain accurate filing systems, contact lists, and team documentation on our Box drive.
- Assist with status reports, ensuring up to date and ready for team status meeting. Collaborating with Account Managers and Project Management.
- Help monitor deadlines on status and flag risks to account teams.
- Support Account Managers / Directors in preparing client presentations and decks (PowerPoint/Keynote).
- Manage document formatting, proofreading, and ensuring consistency with brand/client standards.
- Handle client-related administrative requests promptly.
- Assist Account Managers with logging and tracking budget spend.
- Maintain financial trackers and reconcile project costs with finance teams.
- Help organise team events.
- Contribute to a positive team culture by being proactive and collaborative.
- Act as a central hub for information-sharing across departments.
