Digital Transformation Optimisation Co-Ordinator

The postholder will support digital transformation by leading service redesign and process optimisation within mental health, community, forensic, and prison healthcare services. They will work with clinical and operational teams to implement digital change, improve data quality, and maximise the use of digital technologies to enhance care delivery and service outcomes.
Main duties of the job
The main Duties will include:
- Lead and support digital transformation projects across the Trust.
- Drive organisational and behavioural change through digital systems optimisation.
- Assist in the development of clinical best practices and process improvements.
- Collaborate with stakeholders to analyse needs, plan projects, and deliver digital solutions.
- Provide change management support, training, and system improvement recommendations.
- Promote adoption of assistive and emerging technologies.
- Support data quality improvements and performance measurement.

Oxleas offers a wide range of NHS healthcare services to people in community and secure environment settings. Our services include community health care such as district nursing and speech and language therapy, care for people with learning disabilities and mental health care such as psychiatry, nursing and therapies. Our multidisciplinary teams look after people of all ages and we work in close partnership with other parts of the NHS, local councils and the voluntary sector and through our new provider collaboratives. Our 4,300 members of staff work in many different settings including hospitals, clinics, prisons, secure hospitals, children's centres, schools and people's homes.
We have over 125 sites in a variety of locations in the South of England. In London we operate within the Boroughs of Bexley, Bromley Greenwich and into Kent. We manage hospital sites including Queen Mary's Hospital, Sidcup and Memorial Hospital, Woolwich, as well as the Bracton Centre, our medium secure unit for people with mental health needs. We are the largest NHS provider of prison health services providing healthcare to prisons within Devon, Dorset, Bristol, Wiltshire and Gloucestershire, Kent and South London. Job responsibilities
Project Work
- Prepare business cases, process maps, gap analyses, and benefits realisation plans.
- Draft project documentation for approval (e.g. PID, business case).
- Facilitate service design workshops and redesign processes using change management techniques.
- Assist in procurement activities for new systems.
- Promote and evaluate new digital technologies.
- Track project risks, issues, and interdependencies.
- Analyse and interpret performance data to support improvement.
Change and Service Improvement
- Engage staff through workshops and change initiatives.
- Apply service improvement methods to improve system use and workflows.
- Educate staff on data quality and best practice for data entry.
Management Responsibilities
- Will required to manage and support development of junior staff.
- Plan and organise stakeholder involvement in early phases of project work.
- Manage resources, budgets, and collaborative project activities.
Leadership
- Facilitate effective team collaboration and stakeholder engagement.
- Address resistance to change and build support through training and motivation.
- Support culture of continuous learning by sharing lessons learned.
Communication and Stakeholder Engagement
- Liaise with clinical, managerial, and digital teams to support change.
- Act as an advisor for system use and configuration.
- Present project outcomes and updates to clinical teams.
- Maintain accurate project documentation and stakeholder communications.
Person Specification
Edication & Qualifications
- Degree or equivalent experience in a relevant field (e.g. health informatics, project management, clinical systems)
- Formal training or qualification in service improvement or project management (e.g. PRINCE2, Lean, Six Sigma)
Experience
- Demonstrated experience managing or supporting service improvement or digital transformation projects
- Experience in drafting project documents: PIDs, business cases, benefits realisation, gap analyses
- Experience facilitating workshops or training sessions for process improvement
- Experience with clinical systems and resolving user issues/data quality problems
- Experience working with cross-functional teams (clinical, managerial, digital) to drive change
- Experience in procurement, evaluation of systems, or writing specification documents
- Line management or mentoring of junior staff
Knowledge & Skills
- Knowledge of digital health technologies, clinical information systems, or NHS infrastructure
- Skilled in using performance data to analyse service effectiveness and support benefits realisation
- Ability to design and implement new working practices through stakeholder engagement
- Understanding of change management methodology and its application in a healthcare setting
- Understanding of project budgets and resource planning
