THE ROLE

The role of Executive Assistant to our Chief People, Culture and Transformation Officer requires a high degree of proactivity and discretion in a fast-paced transformation environment. You will work flexibly and with purposeful teamwork, delivering high performance and playing a key part in realising our shared vision.

  • Produce detailed documentation: proactively coordinating and aligning stakeholders to produce clear, executive-level presentations and reports ensuring the Chief People, Culture & Transformation Officer is fully prepared for all key meetings with all key stakeholders, including Group CEO, Group CFO and Board
  • Deliver extensive project coordination: Helping track progress, coordinating resources, and tracking follow-up on action items across multiple teams
  • Manage data and research: Conducting research and collating data for strategic reviews, presentations, and decision-making for a wide variety of different initiatives
  • Command the schedule: Managing a relentlessly complex and dynamic calendar with flawless precision, skilfully blocking time for deep work and strategy; expertly managing and prioritising multiple stakeholder requests
  • Create structure: Developing and improving systems and ways of working for effective document control, information retrieval, and task tracking, providing a reliable administrative backbone for the People, Culture & Transformation Function
  • Anticipate and address potential challenges: Addressing complex issues quickly and thoughtfully.
  • Navigate ambiguity: Thriving in the fluid, fast-paced environment of transformation; adapting quickly to shifting deadlines and priorities, remaining calm, organised and in control under pressure.
  • Identify and manage travel requirements: Seamlessly organising all aspects of global travel, including accommodation/venues and flights, ensuring any immunisation and visa requirements are completed
  • Maintain absolute discretion: Handling highly sensitive and confidential information with uncompromising integrity and professionalism.

ESSENTIAL SKILLS AND QUALIFICATIONS

  • Proven experience in supporting executive leaders in a fast-paced, transformation environment, working with a high degree of autonomy and initiative.
  • Ability and desire to proactively anticipate needs and use independent judgment, demonstrating flexibility to work under own initiative, responding effectively to constantly changing priorities and deadlines.
  • An understanding of business priorities and the ability to align daily tasks and projects with broader organisational objectives.
  • Exceptional verbal and written communication skills to engage tactfully and diplomatically.
  • Extensive and proven deep expertise in managing complex calendars, meetings and events, skilfully ‘juggling’ multiple priorities, staying calm and organised throughout
  • Deep expertise in MS Office and virtual meeting platforms.
  • Strong emotional intelligence; warm and approachable in style, with good sense of humour, able to skilfully establish and maintain highly effective relationships.

This senior role will require c.3 days per week based in our Hammersmith Office, some travel to other locations in the UK and some work outside of core working hours
