Overview
Endoscopy Booking Waiting List Officer – 37.5 hours per week, Monday to Friday. Hybrid working (office and home). Based at Darlington Memorial Hospital or The Greenhouse, Stanley, with duties to include managing endoscopy waiting lists, arranging Pre-Assessment appointments and theatre scheduling within the Trust’s timescales, and other administrative tasks associated with a diagnostic elective waiting list. Interviews will be held on Wednesday 29 October 2025.
Main duties
- Add patients to the Endoscopy Waiting List in accordance with policies and procedures.
- Manage multiple waiting lists across specialties, ensuring efficient use of theatre sessions in line with Government Access Standards, NHS Constitution and Trust Patient Access Policy.
- Inform patients of cancelled admissions/appointments and arrange new dates, handling personal and confidential information with sensitivity; explain process criteria for each hospital site.
- Book theatre scheduling and plan lists up to six weeks in advance to meet 18‑week diagnostic cancer and 28‑day rescheduling targets.
- Arrange specialist anaesthetist reviews (including some paediatric cases) or regional blocks in liaison with the anaesthetic department.
- Coordinate with booking coordinators in other settings (including prison and private sector) with awareness of Trust security, information governance and confidentiality requirements.
- Maintain effective planning and organisational skills when liaising with consultants, nurse practitioners, patients, GPs and admin staff; work to diagnostic and 18‑week targets.
- Maintain appropriate contact with patients and relatives, particularly where cancer has been diagnosed, handling sensitive information with empathy and professionalism.
- Ensure pro‑forma and letters are up to date and uploaded to the patient electronic medical record; monitor waiting lists and inform GPs as required.
- Provide flexible support to cover colleagues during sickness or holidays as needed.
Person Specification
Qualifications
- Essential: Good standard of education with 5 GCSEs (including English Language and Maths) or equivalent experience.
- Desirable: NVQ Level 2 in Business Administration or Customer Service.

- Desirable: Familiarity with NHS performance targets; medical terminology.
Experience
- Essential: Relevant administrative experience, preferably within the NHS or healthcare; experience of working with the general public or customer service; ability to operate in complex environments; maintenance of work standards; knowledge of RTT 18‑week and USC pathways.
- Desirable: NHS reception, waiting list or other administrative posts.
