We are looking for an Engineering Operations Administrator to join our account teams supporting a new contract operating across the UK at Thermatic Technical FM. Thermatic Technical FM provides nationwide coverage across the full spectrum of Hard FM services to large, commercial clients. Our team of mobile engineers is supported by the account teams at Head Office to provide both reactive breakdown and planned maintenance services to our clients.
Responsibilities
- Review and validate daily timesheet entries for remote engineers, ensuring timesheets accurately reflect time spent on jobs and tasks.
- Approve engineer expenses, order engineer uniform, and collate engineer absences.
- Review and validate timesheet data using the Operations System (Job Logic) and compare travel time between Job Logic and Fleet Trackers to verify entries.
- Identify missing timesheet data and coordinate with the Operations team to assign time correctly.
- Liaise with engineers to resolve discrepancies and communicate changes to timesheets.
- Work with the finance team to ensure engineers are paid accurately for overtime.
- Assist with logging engineer activities on the Operations System (Job Logic) and ensure absences, holidays, and sickness are recorded accurately.
- Process engineer expense claims and perform other ad-hoc administrative duties as required by the Operations team.
- Collaborate across your team and the wider business; contribute to team meetings and celebrate successes.
- Maintain awareness of engineer skillsets and locations; support payroll cut-off timelines to ensure accurate payments.
- Prioritise safety for yourself and colleagues and identify hazards or near misses in line with company procedures.
Qualifications & Skills
- Administration experience.
- Experience in timesheet management or similar administrative duties (Desirable).
- Computer literacy with Microsoft Office.
- Strong communication and interpersonal skills; collaborative approach.
- Attention to detail and strong organisational skills; good time management.
- Outstanding problem-solving abilities and the capacity to analyse timesheet data.
- Ability to multitask and manage multiple tasks simultaneously.
- Ability to work effectively with engineers and multiple departments.
- Analytical skills for analysing timesheet data.
Hours, Location & Work Arrangements
Main location: Thermatic Head Office, Salford. Opportunities to work remotely for part of the week.
Regular hours: Monday to Friday, 8am to 5pm – 40 hours per week.
