Role summary

To strengthen our key objectives of quality, student engagement and scalability, we are seeking to recruit an Exams Support Coordinator who will support the delivery of all internal and external examinations. The role includes managing all entries for our Exams Centre in Wales (including IGCSEs, A Levels and other qualifications), leading on communications with parents, candidates and exam boards, and managing Special Arrangements where appropriate. The Exams Support Coordinator will also assist students and parents in finding local exam centres where appropriate and ensure information is available online and through InterHigh communications. The role involves liaising with the Admissions and Operations teams and handling enquiries from parents and exam candidates. The successful candidate will report to the Head of Examinations and will work closely with Heads of Subject and other academic staff, the Operations team, as well as with parents, students, and awarding body representatives.

Key responsibilities

  • Assisting with the exam entry and transfer process, including NEA/Non-Examined Assessments (coursework).
  • Assisting with the process of candidates transferring to other private candidate centres.
  • Distribution of examination certificates to students.
  • Ensuring JCQ and exam board processes are followed.
  • Coordinating applications for Access Arrangements for eligible candidates.
  • Administering access arrangements and making applications for special consideration.
  • Communicating regularly with students and parents regarding arrangements for external examinations.
  • Communicating with other exam centres, nationally and internationally.
  • Producing and distributing an annual exam calendar to centre staff and candidates, and communicating deadlines and events.
  • Ensuring candidates and parents are informed of exam timetable elements that affect them.
  • Providing and confirming detailed data on estimated entries.
  • Maintaining systems to support timely candidate entries.
  • Identifying and managing exam timetable clashes.
  • Assisting with the submission of NEA/controlled assessment marks and related tracking, dispatching, and storage.
  • Responding to customer enquiries within agreed timeframes and to satisfaction.

The ideal candidate will have

  • Qualified up to degree level.
  • Excellent organisational and planning skills.
  • Excellent IT skills and experience with multiple IT systems.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills and ability to work with a range of internal and external stakeholders.
  • Knowledge of the education sector and examinations would be desirable.
  • Ability to work well in teams and to prioritise and meet deadlines.
  • Ability to work well under pressure and adapt to a dynamic environment.

Specifically, you will ideally have

  • Expertise and experience administering examinations in a school or educational context.
  • Experience and/or knowledge of awarding organisations and regulatory frameworks for administering examinations.
  • Ability to troubleshoot problems and find creative, lasting solutions.
  • Flexible, energetic approach and the ability to thrive in a fast-changing, collaborative delivery culture.
  • Strong interpersonal communication skills with the ability to build good relationships internally and externally.
  • Ability to work independently when needed, and collaboratively in a team.
