The role reports to the VP of Sales, EMEA, and primarily provides high-level executive and administrative support to the VPs of Sales in both the EMEA and APAC regions. This includes managing calendars, coordinating meetings across multiple time zones, handling travel arrangements, preparing materials, and ensuring smooth day-to-day support for senior leadership. In addition to executive support, you will also play a key role in maintaining the smooth operations of our London Hub, including office logistics, employee events and programs, client events, and contributing to a positive and engaging workplace culture. This is a highly visible role requiring discretion, initiative, and excellent organisational skills.
StackAdapt is a Remote First company; we are open to candidates located anywhere in London for this position as there will be expectations and a need to go into the office at least three days a week.
Responsibilities
- Executive Support: Serve as the Executive Assistant to the VPs of Sales in EMEA and APAC, managing complex calendars, scheduling meetings across time zones, booking international travel, and ensuring seamless coordination of logistics. Prepare presentations, reports, and meeting materials, while maintaining confidentiality and acting as a key point of contact for internal and external stakeholders.
- Office Management: Support the smooth running of our London office and virtual environments, ensuring optimal working conditions and collaborating on policies to improve efficiency and workplace experience. Liaise with vendors, manage supplies and facilities, and maintain relationships with vendors and providers.
- Employee Events & Programs: Plan and execute employee and community events—both virtual and in-person—supporting team engagement across regions. Manage budgets, employee gifting, travel for EMEA events, and ensure inclusive, thoughtful recognition programs that promote a sense of belonging.
- Other Ad-Hoc Projects: Collaborate with the O&E Manager on internal initiatives such as StackHuddles, StackFest, and social channels like Stack Social. Support team communication, branding, and engagement projects as needed.
Qualifications
- Proven experience as an Executive Assistant supporting senior leadership, ideally in a fast-paced, global environment, with 3+ years of progressive experience.
- Strong organisational and multitasking skills, with a sharp attention to detail and the ability to manage competing priorities with discretion and professionalism.
- Experience in office operations, employee events, or workplace experience roles is a plus.
- Excellent interpersonal and communication skills—written and verbal—with the ability to build strong working relationships across regions and functions.
- A proactive, service-oriented mindset with high energy, sound judgment, and a collaborative, can-do approach.
