Your mission:
Are you ready for an exciting opportunity? We are seeking an Executive Personal Assistant to the Chief Operating Officer (COO) and UK Executive Team. As the Executive Personal Assistant, you will be the backbone of the COO’s office, providing proactive and seamless secretarial and administrative support. Your mission is to ensure the smooth and efficient operation of the COO’s office by expertly managing schedules, coordinating meetings, and handling confidential information with the highest level of discretion and professionalism. You will be a key player in facilitating the COO’s strategic initiatives and supporting the UK Executive Team.
What you will do:
- Provide secretarial and administrative support for the COO and UK Executive Team, always exercising a high degree of confidentiality and diplomacy.
- Proactively manage complex calendars, scheduling meetings, appointments, and travel itineraries across multiple time zones, ensuring optimal use of time and budget.
- Arrange recurring and ad hoc meetings. To include diary invitations, meeting room bookings, catering etc and any travel arrangements, as necessary. Ensure all parties are aware of the arrangements. This may from time to time include arranging larger ‘event’ meetings which will include personnel travelling from multiple countries.
- Prepare agendas, collate relevant documents, take accurate minutes, track action points, and ensure timely follow-up for executive-level meetings.
- Arrange detailed national and international travel logistics, including flights, accommodation, visas, ground transportation, and preparing comprehensive itineraries.
- Build and maintain strong working relationships with internal stakeholders, and other EPA's across the business.
- Screen and answer emails, particularly those relating to meeting requests.
- On behalf of the UK executive team, prepare travel expense reports using the expense claim system to ensure correct and timely reimbursement of costs.
- Handle highly sensitive and confidential information with the utmost discretion and professionalism.
- Maintain organised filing systems (digital and/or physical), manage office supplies, and support general administrative tasks as needed.
- Assist with the organisation of corporate events, conferences, and internal meetings.
- Perform any additional tasks as may be requested by COO.
What we ask for:
- Demonstrate experience in a similar role, preferably within an international company.
- Demonstrate experience of managing a complex diary, across international time zones with constantly changing priorities.
- Must be computer literate with expert experience using Outlook, Word, Excel, PowerPoint and Microsoft Teams. Experience of travel management and expenses claim systems would be beneficial.
- Must be used to working in and handling confidential information/documentation and always maintaining discretion.
- Effective and professional written and oral communication skills are essential for this role.
- Attention to detail, ensuring a high level of accuracy and quality of work produced.
- Demonstrate ability to communicate with people at all levels in the organisation, including senior management, applying tact and diplomacy when required.
- Ability to plan and organise own and other’s activities.
- Demonstrated ability to be logical and proactive, offering help, even when not asked and following issues through to closure.
- Ability to work under pressure amidst constantly changing priorities, while communicating with relevant senior stakeholders.
- Fluent in English, verbal and written
