About The Role
This is a pivotal role that requires exceptional organizational ability, emotional intelligence, discretion, and adaptability.
You will be the CEO’s right hand ensuring efficiency across his business engagements at EXANTE while managing the logistics of his personal and family life. The role combines classic EA responsibilities with elements of lifestyle management and private PA support.
Reporting Line - Chief Executive Officer (CEO), EXANTE
Worksite: Remote, London UK
Responsibilities
Executive (Business) Support - 30% of time allocation
- Proactively manage the CEO’s complex professional calendar, across time zones and business units.
- Coordinate and prepare materials for high-level internal and external meetings (e.g. board meetings, investor briefings, industry events).
- Organize global travel arrangements including flights, accommodation, ground transport, and visa support.
- Act as primary point of contact for senior stakeholders and international partners on behalf of the CEO.
- Assist with the CEO’s strategic priorities by tracking actions, following up with teams, and ensuring deadlines are met.
- Handle confidential business documents and communications with the utmost discretion.
- Support the CEO’s role as brand representative through event coordination, media requests, and occasional speaking engagement logistics.
Personal & Family Support - 70% of time allocation
- Manage private diary, appointments, family travel plans, and special events.
- Liaise with household staff, property managers, and service providers to ensure smooth operation of private affairs.
- Arrange personal errands, bookings, school-related logistics, and sourcing of services (e.g. gifting, childcare coordination).
- Organize family holidays and VIP travel experiences, ensuring a seamless and high-standard approach.
- Coordinate with the CEO’s spouse and family when needed to align on plans and commitments.
- High level management of geographically distributed transport vehicles and real estate.
- Maintain strict confidentiality and discretion at all times.
Qualifications
Experience & Background:
- 7+ years in a senior EA/Private PA role supporting C-suite executives in high-performance organizations ideally within financial services, tech, or international businesses.
- Proven ability to balance both executive and personal support roles.
- Experience coordinating with UHNW families, private offices, or founders is a plus.
Skills & Attributes:
- High level of discretion, professionalism, and emotional intelligence.
- Exceptionally organized with strong prioritization and time-management skills.
- Outstanding interpersonal and written communication skills.
- Confident in handling ambiguity, last-minute changes, and high-pressure environments.
- Proactive, self-sufficient, and detail-oriented with a service mindset.
- Strong cultural awareness and ability to liaise with stakeholders across diverse geographies.
- Fluent English and Russian language skills.
Tech Proficiency:
- Comfortable with Google Workspace, Zoom, Slack, and travel booking platforms.
- Familiarity with CRM systems or business communication tools is an asset.
