Salary: £40,000 - 50,000 based on experience (pro-rata)

The Role

We’re looking for a proactive and highly organised Executive Assistant to support our CEO and co-founder, Emilie. In this role, you’ll play a key part in keeping her schedule, meetings, and communications running smoothly, enabling her to focus on driving our mission forward.

This is a part-time role, working 24 hours per week over 3–5 days.

Key Responsibilities

  • Proactively manage and maintain Emilie’s diary
  • Inbox management, including responding to emails and flagging urgent matters
  • Assist with the planning and preparation of meetings, including Board and Senior Leadership Team meetings, producing first drafts of decks & agendas and taking accurate minutes
  • Lead the annual and quarterly planning process
  • Facilitate and host meetings (e.g. weekly leadership team meetings) on Emilie’s behalf, ensuring agendas are set, discussions are productive, and actions are agreed and followed up
  • Draft and edit reports, presentations, speaker notes, and other communications on Emilie’s behalf
  • Draft quarterly investor reports and manage investor queries
  • Make travel and accommodation arrangements, ensuring all details are prepared in advance
  • Act as a point of contact for internal and external stakeholders, handling queries with professionalism and ensuring timely resolution
  • Support the organisation of departmental and team events and socials (both virtual and in-person), including end to end ownership and delivery of quarterly “Town Hall” meetings
  • Provide project management support when required, tracking progress and ensuring timely completion of tasks
  • Independently lead small projects, delegated by Emilie when needed
  • Support the wider C-Suite and leadership team on an ad-hoc basis as required
  • Collaborate with the People team on culture and change management initiatives

Required Experience

  • Previous experience as an Executive Assistant or Business Manager supporting C-suite level leadership
  • Strong experience in planning and internal communication
  • Strong administrative skills, including diary and email management and minute-taking
  • High proficiency with Google Docs, Sheets, and Slides (or similar tools)
  • Experience managing multiple priorities in a fast-paced environment
