This role provides first line employment advice and acts as the first point of contact for HR process and policy enquiries. The team delivers high quality administrative support across the full employee lifecycle. The role focuses on UK policy and process and supports processes across Europe, the Middle East and Africa. We are based in Glasgow City Centre with a blended working approach (home and office) on a 5-day Monday to Friday pattern. This is a fixed-term 12-month position.
Responsibilities
- Employee Lifecycle Support
- Correctly administer changes to terms and conditions of employment, ensuring correct sign-off, updating systems and contracts, and maintaining employee files.
- Administer employee benefits, including maintenance of the UK Flexible Benefits system.
- Handle employment verification requests and manage the probation process to ensure accurate employment status.
- Own absence policy management, including the administration of the MyHR absence management tool and all family leave policies; ensure leave is recorded and reported to payroll.
- On-boarding And Off-boarding Support
- Collaborate with the resourcing team to ensure correct onboarding and first-class customer experience.
- Schedule and coordinate interviews.
- Process leaver information accurately and speak with employees and line managers to ensure correct holiday accrual for payroll.
- Add new hires to the MyHR system (Oracle) and update country transfer records.
- Engage with external providers for pre-employment screening and immigration support; maintain visa/work permit data for sponsored workers.
- Payroll Preparation
- Maintain the payroll input tracker and ensure payroll payments are processed, including starters, leavers, contractual changes and benefits.
- Wider HR team support
- Procurement and vendor management.
- Assist the Reward and HRIS teams with cyclical initiatives and user acceptance testing.
- Provide administrative support to Talent and Development and Diversity, Equity and Inclusion functions.
Qualifications
- Excellent verbal and written communication skills, with ability to explain policy and processes clearly.
- Conscientious and detail-oriented, able to meet agreed service levels.
- Strong organisational and time-management skills; capable of planning and prioritising workload.
- Previous experience in HR Administration and employee lifecycle support.
- HR systems experience essential, preferably with Oracle.
- Proficiency with Microsoft Word, Excel and Outlook.
- Knowledge of data protection importance.
- Ability to contribute to ad-hoc projects impacting HR processes while delivering BAU.
- Willingness to embrace change that supports team and business needs.
