This is a Residential position with permanent employment. The role is a hybrid position based at the office in Chiswick, London.

Job Purpose

Responsible for providing efficient HR administrative support to the HR team, Reward & Mobility Team, Managers and Employees, ensuring high levels of customer satisfaction through a responsive, timely and proactive service. Apply HR processes consistently and maintain highly accurate and reliable data. Provide ad hoc support to the HR team such as producing presentation material and input into project management. Be the first point of contact for all systems/reporting related queries as an HR superuser. Support delivery of the annual systems calendar (e.g. Performance, Compensation, Success & Talent) by testing, ensuring data quality and preparing training materials. Monitor integrations and ensure data is transmitted correctly to downstream systems. Deliver HR reporting on a weekly/monthly basis, including monthly resource planning and cost forecasting.

Key Roles And Responsibilities

  • Provide HR Administrative support to manage queries/requests from internal and external customers with the aim of resolving queries at first point of contact, across the full employment lifecycle. Escalate as required.
  • Resolve queries in a timely and appropriate manner and provide updates on status/progress to relevant parties, maintaining good customer relationships and high levels of service.
  • Responsible for document management and generation of all letters, offers & contracts and other documents produced by or received by HR Services, including management of employee folders.
  • Prepare documents as required, using pre-agreed templates. Maintain templates and standard letters ensuring they are up to date and in line with current employment legislation/regulations.
  • Manage the delivery of employee briefings (inductions, exit interviews, maternity/paternity cases).
  • Handle GDPR requests as per defined process and manage GDPR folder within agreed retention timelines.
  • Support the Reward team with payroll inputs in a concise and timely manner.
  • Administer, monitor and evaluate the provision of employee benefits and act as first line of contact for employee queries.
  • Coordinate local and international recruitment activity in support of the Talent Acquisition team.
  • Initiate and coordinate pre-employment checks, medicals and background screening.
  • Provide timely support for internal and external HR audit requests on local and international basis.
  • Ensure HR policies, procedures and processes are followed consistently.
  • Participate in HR projects where needed.
  • Be the first point of contact for systems/reporting queries as an HR superuser and support delivery of the annual systems calendar including testing, data quality and training materials.
  • Monitor integrations and intervene if anomalies are identified to ensure correct data transmission to downstream systems.
  • Deliver HR reporting on a weekly/monthly basis, including resource planning and cost forecasting.
  • Maintain and manage data within HR systems with highly accurate data entry.
  • Maintain up-to-date HR system platforms (leave management system, recognition system, learning management systems) and reflect changes in organisation charts in a timely manner.
  • Raise SAP purchase orders when required.
  • Support the HR team and produce high-quality PowerPoint presentations.
  • Collaborate with colleagues across the HR function to ensure an integrated approach to HR service and systems delivery.
  • Identify opportunities for continuous improvement within remit.
  • Perform in line with the Company values.

Experience & Education

Excellent knowledge as an HR superuser of SAP SuccessFactors in Employee Central, Compensation and Recruitment. Experience in reporting/creating dashboards and comfortable with data manipulation and calculations.
