Overview

Junior PA (Construction Engineering & Disputes) role at Osborne Clarke. This is a permanent position based in either London or Bristol with some hybrid working. The role supports the Construction and Engineering team with billing processes and other financial administration for key clients, working closely with the team PAs, the accounts team and the credit control team. This is an exciting opportunity for an individual seeking a new challenge in a busy environment.

What You'll Do

  • Develop strong working relationships with the team to anticipate, mitigate and resolve potential billing issues or concerns.
  • Set up, maintain and regularly update a billing tracker to provide clear visibility of progress at each stage of the billing cycle.
  • Proactively manage and organise all billing guides for the team and save onto iManage before circulating to the matter manager.
  • Produce monthly debt reports for all fee earners, export to Excel, and circulate to the relevant matter manager before billing commences and again once billing has completed.
  • Produce and export monthly work in progress reports for all fee earners and send to the relevant matter manager with their billing guides.
  • Own the end-to-end monthly invoicing and reporting cycle for key client matters: ensure accurate invoice preparation, collate and quality-check invoices, coordinate and distribute the full billing pack to client stakeholders in the first week of each month.
  • Build a good working relationship with the Billing Request team and liaise to provide clear instructions on approved billing guides for accurate bills and write-offs as needed.
  • Quality check all PDF bills to ensure accuracy and ensure bills are sent to the matter manager or clients in accordance with the correct process for each client.
  • Regularly check client contact details, billing information and billing rates for accuracy and currency.
  • Assist with file opening, closing and archiving.
  • Support PAs and Fee earners with administrative tasks such as diary management, travel arrangements, printing and bundles, and post as required.

Additional Responsibilities

  • Model flexibility, take ownership of tasks and be open to change.
  • Work with the Disputes & Risk practice management team to improve team efficiencies, communications, and IT application roll-outs.
  • Support the Operations Manager and Senior PA Resource Coordinator in developing administrative practices and efficiencies.

Who We Are Looking For

  • Enthusiastic, proactive, and positive approach.
  • Ability to work under pressure with minimal supervision.
  • Excellent time and performance management, attention to detail, and IT skills (Microsoft Word, Excel, PowerPoint).
  • Confidentiality, flexibility, discretion and diplomacy; experience with invoices and spreadsheets.
