Job Summary

We are looking for a confident and outgoing individual with excellent communication skills and interpersonal skills to join our team. This opportunity is open in both our London and Oxford offices with frequent travel required between the two.

The Junior Project Coordinator supports the delivery of high-quality engineering and consulting services by assisting project delivery through undertaking project administration, document control, and project delivery coordination activities. This role is ideal for someone looking to grow into project operations, offering hands-on experience in project systems, internal processes, and cross-functional collaboration. You will work closely with our technical teams (MEP, Fire, Lighting, Sustainability), Project Managers, and the wider support group to ensure consistent, accurate, and efficient delivery of project documentation and coordination of tasks.

On-the-job training and mentoring to develop skills in project coordination, document control, and use of project management systems (e.g., Deltek, SharePoint, Newforma) will be provided.

Responsibilities

  • Collaborating closely with project managers to monitor and assist with the set up and progression of internal project documentation throughout the project lifecycle.
  • Assist the Project team to ensure that all engineers are given the document control support required
  • Liaising with external contacts in relation to document control activities
  • Use Introba’s document issuing system (Newforma) including creating and updating production schedules, document numbering, issuing drawings, and reconciling historical issues
  • QA check title blocks of documents and drawings before issuing
  • Administrator on external document control sites for issuing and managing documents as needed for certain projects
  • Download required information from the client’s external document site and file on project drive according to procedures
  • Track incoming drawings, RFIs, and tech subs, and download and distribute to appropriate teams
  • Upload responses to drawings, RFIs, and tech subs to external document sites
  • Work closely with Project Managers and their teams to coordinate issues of documents and track project deadlines
  • Supporting the day-to-day implementation of company processes in respect of HS&E, BS EN ISO 9001 and ISO 14001
  • Administration of Project Financial Set up/Configuration in Deltek
  • Adding additional fees
  • Awareness and understanding of the status of project tasks and phases as well as resource plans.
  • Updating/Creating new opportunities
  • A growing understanding of report generation on project performance
  • Project Report Formatting
  • PDF merging and conversion
  • Formatting Reports
  • Collating Info to create Schedules / PowerPoints and Word
  • Assisting Project PMs in production of monthly progress reports

Key Skills Requirements

  • Computer literate, with a good working knowledge of Microsoft Office suite.
  • Excellent attention to detail and accuracy, with the ability to identify cross-discipline documentation for errors and inconsistencies.
