What to expect
As a Legal PA within our Practice Group Support team, your role is pivotal. You’ll provide confidential, professional and proactive support to a designated group of stakeholders. Confidence, effective communication and influential skills are essential. We value an assertive and forward-thinking approach.
Responsibilities
- Support the Practice Group with a wide range of tasks, including calendar management, meeting coordination, and handling confidential information.
- Attend team meetings, draft clear and concise replies to incoming correspondence, and act as a liaison for internal and external clients.
- Manage stakeholder requests, stay adaptable to hybrid working arrangements, and ensure delivery of tasks to meet expectations and deadlines.
- Collaborate with lawyers and cross-functional teams; proactively anticipate needs and provide solutions.
- Assist with client queries during stakeholder absences and maintain a flexible approach to work allocation.
Skills and experience
We are looking for:
- Experience in a similar professional services environment with the ability to adapt to a busy, demanding setting.
- Strong client service ethos with the ability to anticipate needs and address issues proactively.
- Proactive problem-solving, initiative, and a commitment to excellence.
- Excellent communication skills when liaising with stakeholders and clients.
- Ability to delegate tasks across support teams while owning transactional activities.
- Strong relationship-building skills, both internally and externally.
- Effective task management, risk awareness, and ability to balance priorities to meet deadlines.
- Flexibility to adapt to changing environments; intermediate to advanced Microsoft applications (Outlook, Teams, Co-pilot).
- Team collaboration and willingness to support colleagues as needed.
Role and key responsibilities
- Conduct regular one-to-one meetings with stakeholders to discuss actions, priorities, expectations and future planning.
- Attend team meetings, draft replies, and assist with client queries during absences.
- Maintain a flexible, hybrid working approach to accommodate stakeholder and client needs.
- Efficient mailbox, diary, and travel management; coordinate meetings and logistics for internal and external events.
- Own end-to-end workflows, delegate tasks to specialized teams (billing, finance, document production) to meet service scope and deadlines.
- Document management and matter opening processes, including electronic filing and collaboration with stakeholders.
- Provide financial administrative support and ensure compliance with firm policies and procedures.
- Assist with pitch and presentation creation in collaboration with the Document Production Team.
- Coordinate marketing and business development activities, events, and attendee communications.
- Advocate for process improvements and leverage technology to enhance productivity.
- Manage electronic filing, records maintenance, and expenses using the firm’s software; use technology to support collaboration and research.
