Overview

Office & Hospitality Assistant role at Fisher German LLP – London office. This is a full-time, office-based position with working hours from 08:45 to 17:15, Monday to Friday.

Responsibilities

  • Act as the initial point of contact, offering a warm and professional greeting to visitors, clients, and colleagues.
  • Provide hospitality for meetings and events, coordinate refreshments, and maintain well-presented meeting rooms, while adhering to the budget.
  • Provide colleagues with weekly briefings of upcoming meetings, visitors, operational updates and liaise with all parties to ensure minimal disruption to the working day.
  • Oversee office management activities, including ordering stationery, office supplies, and refreshments.
  • Receive, sort, and distribute incoming and outgoing post, deliveries, and courier packages.
  • Coordinate office events, book and manage travel arrangements, including train tickets, accommodation, and event support.
  • Liaise with contractors and service providers for maintenance and support.
  • Conduct health and safety inductions for new starters and visitors, keep accurate records, and promote safety.
  • Support social media efforts in collaboration with the Business Development & Communications team to share London PR content and help upskill colleagues with posting and interaction on social media (training will be provided).
  • Manage the office mainline, answer and direct telephone calls, take messages, and handle general enquiries.
  • Maintain the London Client Records Management database for London colleagues to ensure accurate and current information.
  • Maintain office tidiness and ensure communal areas are clean and welcoming.
  • Conduct confidential, ad hoc research projects to support the London office.

Qualifications & Skills

  • Highly organized with exceptional service standards.
  • Strong IT skills with experience in Word, Excel, SharePoint and MS Teams.
  • Excellent written and verbal communication skills.
  • Experience in office administration and/or hospitality roles, with discretion and attention to detail.
  • Aware of health & safety practices and willingness to undertake inductions (training will be provided).
  • Proven organisational and time management skills, with the ability to prioritise tasks and work under pressure.
