Role and Responsibilities
- Act as the professional reception point for the company, greeting clients, visitors, and suppliers with a warm and attentive approach
- Act as the first point of contact for enquiries, ensuring they are directed or resolved promptly
- Create a welcoming environment in the office, maintaining high standards of presentation and service
- Coordinate hospitality for client meetings and events
- Provide day-to-day support to senior leaders, including diary management, travel booking, and itinerary planning
- Proactively anticipate needs and resolve challenges before they arise
- Assist with preparation of documents, agendas, and presentations
- Coordinate internal and external meetings with great attention to detail
- Oversee the smooth running of the office environment, including office supplies, equipment, and vendor relationships
- Manage mail, deliveries, and courier services
- Support design, upkeep, and organisation of the workplace to ensure a productive and vibrant atmosphere
- Ensure compliance with company policies and assist in logging office-related expenses with Finance
- Use data such as call volumes to inform office routines and ensure coverage with minimal disruption
- Assist with planning and delivery of company days, socials, and client events
- Support leaders in organising external engagements and hospitality
- Contribute ideas for enhancing workplace culture and employee experience
- Provide ad-hoc support for projects and business initiatives
- Support internal communication and coordination across departments
- Assist in designing and developing the new office space to create a vibrant, professional, and productive workplace
Requirements
- Minimum of 3 years' relevant experience
- Strong software expertise with Microsoft Office Suite (Word, Excel, Outlook), Teams, SharePoint, OneDrive; ability to use PowerPoint for presentations and Excel for data analysis
- Good time-management and planning skills
- Can-do approach, tenacious, and proactive
- Ability to work under pressure and adapt to changing priorities
- A team player who can work on their own initiative
- Confident communicator, both verbal and written
- Keen eye for detail
- Experience as an Office Manager, Receptionist, or in a workplace experience role is desirable
Successful candidates will be required to undergo onboarding and pre-employment screening before commencing employment. This includes, but is not limited to, credit checks, criminal records checks, sanctions checks, and other relevant background checks. Any offer of employment is conditional upon satisfactory completion of these checks.
Benefits & Package
- Monday to Friday, 8:30am – 5pm (1-hour lunch break)
- £30,000 - £32,000 (dependent on experience)
