Independent Contractor – Operations & Engagement Coordinator

Living Imaginaries

Duration: 30 days over 6 months (September 2025 – February 2026) Part-Time

Location: Remote, with preference for UK (ideally London) or Europe‑based candidates.

Background

Living Imaginaries is a social enterprise working across the interconnected challenges of climate change, biodiversity, health, food, and justice. We combine creative re-imagination with practical pathways for structural change. Our work bridges disciplines and geographies, connecting thinkers, artists, and policymakers across Europe and Asia to co-develop responses rooted in interdependence and shared futures.

Purpose of the Role

This role provides core operational support for Living Imaginaries, helping keep projects and finances organised and ensuring smooth delivery of events and workshops. Alongside day‑to‑day administration and coordination, the contractor will also contribute to communications and light program support — such as preparing materials, managing updates, or bringing an eye for design to documents and the website. The role is suited to a proactive, early‑career professional who wants to learn what it takes to run a small mission‑driven organisation and gain practical experience across operations, coordination, communication and engagement.

Key Tasks

·Coordinate logistics for events, workshops, and meetings (venues, RSVPs, materials, follow‑ups).

·Process and track expenses, invoices, and reimbursements (e.g., via Revolut or similar).

·Support internal and external communications, including website updates, social media, and visual materials.

·Assist with concept notes, proposals, and basic contract preparation.

·Engage with collaborators and partners in a professional and timely way.

Desired Profile

Education

·Bachelor’s degree preferred (not mandatory) in fields such as finance, business administration, communications, or related disciplines.

Core Skills (must‑haves)

·Strong organisational and time‑management skills.

·Experience with event coordination and logistics.

·High‑level English (written and verbal).

·Familiarity with expense tracking and basic finance tools (e.g., Revolut, Xero).

·Comfortable using AI and digital tools.

·Proactive, adaptable, and able to work independently.

·Experience with website management (e.g., Squarespace) or social media.

·Eye for design, formatting, and presentation.

·Awareness of UK tax/startup environments.

·Additional languages (e.g., Dutch, Spanish, Korean).

·Experience managing organisation social media accounts or creating content for outreach.

Contract and Payment Terms

Total of 30 days of work, spread flexibly over 6 months (September 2025 – February 2026). There may be periods of increased demand, requiring several consecutive days of work. There is also the possibility of renewing or extending the role beyond this period if it is a good fit and funding allows. Contractor will invoice in two instalments: one mid-contract and one at completion. Contractor is responsible for managing their own tax and insurance obligations.

Additional Terms

•This contract is outside the scope of IR35. The contractor shall be responsible for ensuring compliance with any tax or employment obligations.

•The contractor agrees to maintain strict confidentiality and comply with relevant data protection laws, including the UK GDPR.

•All work produced during the contract shall be the intellectual property of Living Imaginaries unless otherwise agreed in writing.

•Invoices will be paid within 14 days of receipt.

•UK-based candidates must have the right to work in the UK.
