Overview

Job Title: Personal Assistant (Business & Private Support) – Leading Interior Design and Events Agency, London W2. On site (Friday work from home) Paddington/Notting Hill. Remote working is a core requirement of this role.

Responsibilities

Business & Administrative Support

  • Manage all communications, ensuring emails and calls are handled promptly and professionally.
  • Provide comprehensive diary management, including scheduling, prioritising, and re-organising appointments as business needs evolve.
  • Take accurate meeting notes, prepare minutes, and distribute accordingly.
  • Liaise with clients, press, and team members to ensure seamless communication and workflow.
  • Prepare expense reports, presentations, reports, and correspondence.
  • Create, update, and maintain spreadsheets, databases, and filing systems.
  • Arrange complex travel itineraries for executives and clients.
  • Oversee IT coordination, liaising with the support company as required.
  • Plan and organise high-level events.
  • Undertake ad hoc projects and tasks as needed.

Private PA Support

  • Act as primary liaison for household staff and nanny, providing guidance when necessary.
  • Coordinate household shopping, returns, and gift purchases.
  • Manage family scheduling, including occasional school pick-ups.
  • Support with private events, appointments, and personal errands.

Skills & Experience

  • Full, clean driving licence highly advantageous.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); InDesign an advantage.
  • Strong interpersonal and communication skills.
  • Highly organised with excellent time management.
  • Confident IT user with problem-solving ability.
  • Financial awareness and budgeting skills.
  • Meticulous attention to detail.
  • Flexible to accommodate occasional out-of-hours and weekend work.
  • Discreet and trustworthy, with a strong understanding of confidentiality.
  • Proactive, solutions-oriented, and able to “make things happen.”
