People Process & Systems Specialist - 3-month FTC. Contract type: 3 months FTC (with possibility of going permanent). Hours: 37.5 per week. Location: Birmingham/Leeds. Salary: circa £48k depending on experience. Application Deadline: 21 September 2025. WFH policy: Employees are required to attend the office 2 days per week. Flexible working: Variety of flexible work patterns subject to line manager discretion, e.g. Compressed 9-day fortnight. Reports to: People Operations Manager. Role Summary: At LCCC we sit at the heart of accelerating net zero, and our people are at the heart of our success. The People Process & Systems Specialist plays an integral role in the effectiveness, efficiency and compliance of all People team activity through their focus on process, systems, compliance, people analytics, and reporting.

  • Process – documentation, ongoing audit and review of all People processes.
  • Systems – optimisation, selection, implementation and ownership of all People Team tools.
  • Compliance – team representative for Audit activity, ensuring adherence to all legal and statutory requirements.
  • People Analytics – own, produce, evolve all data and analysis on behalf of People Team.
  • Reporting – internal and external MI, including Annual Report data.
  • Budget and supplier management – support tracking of spend vs. budget and work with Procurement team to ensure we are actively reviewing our supplier landscape.

Key Responsibilities

Process

  • Manage the documentation, ongoing audit and review of all People processes to enable efficiency and business continuity.
  • Enable the scalability and efficiency of all People processes and identify opportunities for automation.

Systems

  • Day to day management and optimisation of all People Team tools, with specific focus on our HRIS (currently People First) and Applicant Tracking System (ATS – currently PinPoint).
  • Troubleshooting of system issues.
  • Translate People Team operational needs into system requirements and process flows.
  • Partner with the Data Protection team to ensure the system set up is compliant with GDPR.
  • Play a leading role in selection and implementation of new People Team tools, including HRIS to include; providing subject matter expertise of core People processes to define business requirements and capabilities, compliance considerations, review of system setup and workflows, lead on data migration activities to validate data mapping, accuracy and completeness, system testing and transition and change management activities.
  • Key point of contact for our ATS, working with our Talent Acquisition team to update workflows, automations, templates, and exploration of new features.

Compliance

  • Review of all People process through a risk and compliance lens.
  • Team representative for all internal and external audit activity.
  • Ensuring we understand and adhere to legal and statutory requirements around collecting and processing data, in conjunction with the Data Protection team.

People Analytics

  • Own and produce all People Team data and analysis, quantitative and qualitative, including Talent and Learning metrics, ensuring we are taking a data-informed approach to making People decisions.
  • Work with the LCCC Performance Team to build and evolve the People Dashboard – ensuring we measure what matters and use leading / predictive indicators where possible to help the People team and senior leaders to understand the health of our business.
  • Establish and implement measures to maintain data-integrity; reducing the possibility of manual error.
  • Perform analysis of People helpdesk queries and processes.

Reporting

  • Internal – including Monthly Information Pack (MIP), Annual Report, analysis of helpdesk and employee relations trends, support to cyclical activity including performance moderation, employee engagement survey etc.
  • External – e.g. pay gap reporting, Office for National Statistics (ONS) surveys and Home Office reporting.

Budget and supplier management

  • Support the People Operations Manager and CPO with setting of People budgets and tracking of spend vs. budget and forecast.
  • Work with the Procurement Team, and across the People Team to ensure that we track the status of our suppliers and contracts, and support the approval / tender process where new arrangements are needed.

Skills, Knowledge and Expertise

Essential:

Operations & Processes:

  • Demonstrable experience across People process, systems, compliance, reporting and analytics.
  • Extensive experience in PeopleFirst or iTrent.
  • Demonstrable understanding of People policy and procedures and ability to apply and factor in this knowledge to interpret, analyse and present people data and optimising our systems.
  • Track record in designing scalable People processes; leveraging technology to streamline and automate.
  • Experience of managing ongoing review of a suite of People processes.
  • Strong knowledge of core HR processes covering the full employee lifecycle (e.g. onboarding, payroll interface, performance, absence, flexible/agile working, benefits and employee data management).
  • Strong knowledge of People policy and compliance requirements, in particular GDPR/data privacy.

HRIS & Data Analysis

  • Involvement in selection and implementation of new HRIS / people tools.
  • High level of proficiency in the use of Excel for analysis and in tools that support visualisation of findings.
  • Proven ability to turn data into insight, including developing the narrative that drives action from analysis.
  • Strong use of HRIS to manipulate data, run queries, and identify trends and data gaps.

  • Confident, concise and articulate presenter, able to engage audiences at all levels and respond to questions with composure and clarity.
  • Proven ability to manage competing priorities and deadlines and maintain high standards.

Desirable:

  • Experience of gender and ethnicity pay reporting.

  • Strong knowledge of right-to-work and visa processing and Home Office Sponsorship Licence requirements.
  • Experience of working within crown commercial services procurement framework.
  • Experience with PowerBI or other data manipulation tools to create reports / dashboards.
  • Experience with PinPoint ATS.
  • Exposure to system integrations such as Talent, L&D, Benefits Management, Payroll.
  • Good knowledge of UK employment law and data protection landscape.
