Personal Assistant (PA) – 6 Month Fixed Term Contract
Location: Central London (Hybrid working)
About the Role
We are looking for a proactive and organised Personal Assistant to provide high-level administrative and secretarial support to a Senior Director. This fixed-term role (6 months) offers the opportunity to work in a dynamic environment supporting a busy executive with diary management, correspondence, travel arrangements, and event organisation. The successful candidate will ensure the smooth running of the Senior Director’s office, handling sensitive information with discretion and acting as a key point of contact both internally and externally.
Key Responsibilities
- Manage the Senior Director’s diary and schedule, coordinating meetings, events, and travel plans.
- Draft, edit, and finalise correspondence, reports, and presentations on behalf of the Senior Director.
- Organise travel arrangements including flights, accommodation, visas, and transportation.
- Arrange and support meetings, including virtual calls, ensuring timely preparation and follow-up.
- Maintain accurate records, files, and contact databases, ensuring information is up to date and easily accessible.
- Coordinate and support official events and representational functions.
- Process expense claims and manage budgets related to the Senior Director’s office.
- Act as a first point of contact, liaising with internal teams and external stakeholders professionally and efficiently.
- Handle confidential information with the utmost discretion and professionalism.
- Support additional administrative tasks and projects as required.
Person Specification
- Proven experience as a Personal Assistant or in a similar role supporting senior management.
- Excellent organisational and time-management skills with the ability to prioritise effectively.
- Strong written and verbal communication skills.
- Discretion and confidentiality when handling sensitive information.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with virtual meeting platforms.
- Ability to work independently and as part of a team.
- Adaptable and able to work under pressure to meet deadlines.
- Commitment to working in a diverse and inclusive environment.
