Overview

We are seeking an experienced and detail-driven Procurement Manager to oversee all procurement activities across our high-end interior design projects in the UK and the Caribbean. Working closely with our design and accounts teams, this role ensures the seamless sourcing, purchasing, and delivery of FF&E and custom-made items, managing the process from quotation through to installation. The role also encompasses supplier management, maintaining the studio’s sample library, and supporting the team in day-to-day studio operations.

Key Responsibilities

FF&E Procurement

  • Liaise with the design team to gather and verify pricing for FF&E items, including custom pieces.
  • Confirm specifications, finishes, and quantities once project funding is approved.
  • Raise proformas and manage a high volume of purchase orders (150+ for larger projects).
  • Cross-check invoices against Fohlio and update the system to ensure accuracy of costs.
  • Consolidate invoices for accounts, ensuring timely submission for payment.
  • Track and reconcile payments via a project costing spreadsheet, ensuring clear oversight of all project expenditure.
  • Liaise with accounts regarding cash flow, ordering times, and VAT rebates for international projects.

Order & Logistics Coordination

  • Monitor orders once placed, coordinating production timelines, deliveries, and shipping to multiple destinations (UK and Caribbean).
  • Work closely with suppliers, shipping agents, and on-site teams to ensure smooth delivery and installation schedules.
  • Resolve discrepancies or delays with proactive communication and problem-solving.
  • Support on-site installation as required.
  • Manage and maintain the studio’s sample library, ensuring it is well-organised and up-to-date.
  • Manage supplier relationships and coordinate supplier meetings.
  • Negotiate terms with suppliers to secure the best possible pricing, quality, and service.
  • Source and vet new suppliers to expand and strengthen the supply chain.
  • Update and maintain supplier lists for accuracy and ease of access.
  • Prepare supplier/product presentations in InDesign.
  • Share responsibility for answering studio phones and greeting visitors at the door.

Skills & Experience Required

  • Proven experience in procurement or purchasing, ideally within the interior design, architecture, or luxury goods sector.
  • Strong understanding of FF&E procurement processes, custom item sourcing, and supplier management.
  • Excellent financial acumen and experience working with costing systems such as Fohlio (or similar).
  • Proficiency in Adobe InDesign for creating presentations.
  • Exceptional organisational skills with the ability to manage large volumes of orders and invoices.
  • Strong communication, negotiation, and relationship-management skills.
  • Proactive, solution-oriented mindset with meticulous attention to detail.
  • Comfortable managing both project procurement and studio operational support.
