About the Role

The Project Coordinator will play a critical role in supporting the successful delivery of a complex, global, multi-client implementation. Reporting to the Senior Project Manager, this role ensures that project activities are well-organised, deadlines are met, and communication flows smoothly across internal teams and external stakeholders. The coordinator will help manage timelines, documentation, and logistics and this role is ideal for someone who thrives in a fast-paced, detail-oriented environment and is passionate about driving operational excellence in global projects.

Responsibilities

  • Support with planning, executing, and monitoring project activities across multiple workstreams, suppliers and clients.
  • Support with updating project plans, trackers, and documentation to ensure accuracy and alignment with timelines.
  • Coordinate meetings, workshops, and stakeholder sessions, including scheduling, agenda preparation, and minute-taking.
  • Serve as a point of contact for internal teams and external suppliers and clients, ensuring timely and professional communication.
  • Track and follow up on action items, decisions, and deliverables to ensure accountability and progress.
  • Support with preparing regular status reports and presentations for internal and client-facing updates.
  • Ensure all project documentation is prepared, organised, and accessible to relevant stakeholders.
  • Support the identification, logging, and tracking of project risks and issues. Escalate concerns appropriately and assist in developing mitigation plans.
  • Help ensure adherence to project governance, standards, and best practices. Support with preparation for project assurance reviews.
  • Support with maintaining project tools (e.g., Smartsheet, SharePoint, MS Office, Uppwise).

  • Comfortable managing follow-ups, updates, and coordination across time zones.

Project Management Tools

  • Hands-on experience using project management and collaboration tools such as Smartsheet, MS Project, Jira, Confluence, or similar platforms to manage timelines, tasks, and documentation.
  • Experience organizing meetings, including scheduling, preparing materials, and capturing actions and decisions.

Documentation & Reporting

  • Experience maintaining project documentation, preparing status reports, and supporting governance processes.
  • Strong attention to detail.

Multi-tasking in Fast-Paced Environments

  • Demonstrated ability to manage multiple priorities and deadlines simultaneously, especially in dynamic, high-pressure project settings.

Exposure to Implementation Projects

  • Experience supporting implementation or rollout projects, ideally involving systems, services, or process changes across multiple clients and/or geographies.

Essential Qualification

Education

  • Bachelor’s degree or equivalent
  • Foundational understanding of project management principles, methodologies (e.g., Agile, Waterfall).
  • Certifications (Preferred but not mandatory): PRINCE2, CAPM, AgilePM
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Excellent written and verbal communication skills, with the ability to interact professionally with global stakeholders.
  • Demonstrated ability to manage multiple tasks, prioritise effectively, and maintain attention to detail in a fast-paced environment.
