The Project Operations Co-ordinator (POC) role is to assist the Project Operations Manager (POM), Job Leaders and Project Directors within their designated groups (cost centres) with the accurate resourcing, planning and financial reporting of Engineering projects within the UK business unit, to ensure consistency of approach and to identify, manage and mitigate our exposure to risk.
As a Project Operations Co-ordinator you will provide hands on commercial and operational support to the engineering teams and the wider Project Operations team.
Responsibilities
- To maintain an accurate representation of financial performance across teams and projects, through the regular update of information in our ERP (Deltek Vantagepoint).
- To support the Project Operations Manager with their management of the commercial performance of engineering teams, through the reporting and review of data from our ERP.
- To build and maintain strong relationships with key stakeholders both within the engineering teams and the Project Operations community and work as part of these teams.
- To hold a good understanding of Buro Happold systems and processes with a view to becoming a super user for those internal systems used within the role, and to provide guidance and champion best business practice.
- To commit to learning and applying new skills with support and guidance of the Project Operations Manager, and to keeping up to date with new technical developments and tools
- To understand the impact of change, both in business processes and on projects
- To recognise and escalate risks and issues to the Project Operations Manager
- To ensure work own is prioritised and deadlines are met
- Work with the project teams throughout the project set-up process in our systems
- Work with the POM with the review of job performance in cost centre(s)
- Support project leadership with the adjustment of plans
- Assist POM with tasks relating to project accounts reviews at month end
- Work with the finance team to ensure project expenditure and revenue is correctly reports
- Maintain bids (checking start dates, fees and probabilities) and ensure plans are linked and missing data is completed, contacting others in the project team as necessary
- Support teams with setting up and managing their Bid Plans
- Close bids (mark as lost/did not proceed) and associated plans
- Conduct Job Leader Reviews and track actions as determined by POM
- Assist JLs with adjustments
- Support POM and engineering team in ensuring capacity report (RUBO) is up to date and accurate (specific attention to P-plans starting in month)
- Populate / amend Non-Project (Z) plans
- Provide ad hoc ERP support / assistance
- Provide ad hoc Dashboard support / assistance
- One-off data/report requests or collation as and when needed
- Degree or similar qualification or commensurate vocational background in a relevant field (Business Management, Finance, Project Management)
- Numerate, with strong analytical skills
- Strong verbal and written communication skills
- Organised and able to prioritise work
- Comfortable talking to a variety of stakeholders and able to pick the appropriate approach
- Background in business support
- Experience of working within a professional services organisation
- Comfortable with data systems, reporting and databases, and has experience carrying out data analysis
- Good time management, escalates if deadlines cannot be met
- Tenacious and conscientious
- Seeks clarity on briefing, understands what has to be delivered
- Able to articulate what is needed
- Resourceful; finds new ways to solve problems
- Follows guidance and keeps information up to date and accurate
