Overall Purpose of the Role
We are looking for a Receptionist / Administrator to join our Office Team. This role is the first point of contact for visitors to the Foundation and leads on ensuring the office environment is a welcoming and comfortable place for visitors and staff. The role also provides a wider administration service for the organisation as a whole.
Key Responsibilities
Reception
- Work as a team with other front of house staff to ensure reception is covered at all times and a high quality service is provided to Foundation staff and visitors.
- Be the first point of contact for the Foundation, dealing with enquires by phone, email and post and directing to the appropriate person.
- Ensure that the reception, general office and kitchen areas are tidy and properly maintained.
- Manage the meeting room booking system and set up meetings as required.
- Assist with setting up, testing and troubleshooting AV equipment.
- Ordering lunches etc. for catered meetings and events.
- Be a first point of contact for the staff team and answering enquiries.
- Handle deliveries and post.
- Order supplies for the office.
- Control and reconciliation of petty cash and credit card orders.
- Ad hoc desk research as required.
- Deal with the administration aspects of the organisation of events and seminars, especially when being held off site.
- Book travel requirements.
The post holder should expect to:
- Work 37.5 ( hours of work are 8.30am – 17.00pm) Monday – Friday, some flexibility required on occasion. This is not a hybrid role
- Be responsible for the input and maintenance of databases and files relevant to the post requirements.
- Will occasionally be required to attend events in the evening and at weekends.

· Computer literacy

· Experience using the Microsoft Office suite.
