Job Description
We have a maternity contract opportunity for a Reprints Coordinator to join our team.
The Reprints Coordinator roles provide administrative support, coordination of daily Reprints Services activities, automated handling of requests and maintenance of standards. This role reports to the Reprints Services Manager and will support the Reprints 3rd Party partners.
This is a full time (35 hours per week) maternity contract position to Summer 2026.
This role will be hired on a balanced/hybrid working basis, with the successful candidate attending our office in Milton Park, Oxfordshire (OX14 4RN) OR London Blackfriars at least three days per week. You must have the right to live and work in the UK.

Key responsibilities
- Providing administrative support to the Reprints Services programme and 3rd Party partners
- Generate reports that assist in sales analysis and account management processes
- Update vendor and/or customer databases
- Handle mailings of new title information
- Prepare marketing and sales materials for vendors and 3rd Parties
- Handle customer service inquiries and troubleshoot customer service problems
- Filing (daily) – electronic and/or hard copy
- Gather and disseminate sales data for monthly reports
- Support 3rd Party partners by working with internal databases to provide reporting and information on an as-needed basis
- Data entry as necessary
- Support in-house colleagues
- Tasks related to pricing, negotiating and payment chasing
- Supporting with permissions requests
Qualifications
- Previous administrative experience
- Strong organisational and project management skills
- Ability to multi-task and prioritise your work
- Demonstrate initiative and be self-starting
- Flexible attitude and comfortable working with ambiguity
- Excellent written and verbal communication skills
- Proficiency with Word, Power Point and Excel
- Experience with CRM software
- Experience with SFDC
- Understanding and implementation of copyright
Additional Information
The successful candidate will need to be able to commit to 3 days per week worked from our head office in Milton Park, Oxfordshire (OX14 4RN), with the rest of your week worked remotely from home.
