We are now looking for a passionate Sales & Operations Coordinator to join our growing team. This role will work closely with the Commercial and Operations teams to support our global expansion and ensure smooth operational and sales/commercial processes across the UK, USA, and other international markets.
In this role, you will be a key member of the Luna Daily team, supporting our retail operations. We’re looking for someone with strong organizational and communication skills, capable of managing multiple tasks simultaneously. This position focuses on providing administrative support and managing data to ensure our retail operations run smoothly and efficiently.
This role sits in our Commercial department reporting into the Head of Commercial EMEA, but will also work very closely with our Operations Manager and our Director of Sales North America.
What You Will Do
Administrative & Commercial Support
- Act as the first point of contact for the commercial team, managing data and admin tasks such as new line forms, promotional documentation, product information, and project timelines via excel, googlesheets or retailer portal platforms.
- Provide general administrative support, including mail handling, sample shipments, and ad hoc team tasks.
- Support office management by maintaining supplies, ensuring a clean environment, and overseeing Luna Daily product stock.
- Conduct store visits to review VM compliance, check stocks & liaise with store colleagues.
- Conduct digital reviews of product pages to review search terms, assets and make suggestions for updates for improved performance.
Order & Compliance Management
- Create and manage retailer purchase orders and business sample orders via warehouse and accounting portals, ensuring all orders are processed within 24 hours.
- Liaise with third-party logistics (3PL) partners to track purchase order dispatch and ensure timely fulfillment providing end to end management of POs from receipt, to delivery.
- Assist with compliance and returns-to-vendor (RTV) processes, coordinating with US/UK 3PLs to resolve issues.
- Create shipping documents/labels for retailer shipments using retail portals, sharing with 3PL partners.
Data, Reporting & Systems
- Maintain and update key internal files, including pricing documents, product masterfiles, and product assets.
- Manage inventory, sales, and promotional data in internal systems with accuracy and consistency.
- Generate and share weekly retail sales reports with insights to support performance tracking.
- Coordinate visual merchandising and point-of-sale projects, liaising with internal and external stakeholders to ensure timely delivery.
- Manage digital asset distribution via Google Drive, ensuring external retail partners have up-to-date product content, liaising with the brand team.
Customer Service
- Oversee the customer service inbox (“Hello@”), responding to inquiries in a timely and professional manner.
- Resolve Shopify backorder issues and manage customer queries effectively to ensure a positive experience.
Events, Sampling & Special Projects
- Provide ad hoc support for retail events and sampling activations.
- Contribute to special projects that improve efficiency and support the wider commercial and operations teams.
What You Should Bring to the Table
What We’re Looking For
- Experience: 1–2 years in an administrative, operations, or retail support role (internships and placements welcome). Experience with consumer goods, retail, or e-commerce is a plus.
- Organization: Highly organized with excellent attention to detail, able to manage multiple projects and priorities at once.
- Technical Skills: Confident working with Excel/Googledocs/Microsoft and digital platforms (3PL portals, retailer portals, Shopify, or similar). Comfortable learning new systems quickly.
- Communication: Strong written and verbal communication skills; able to liaise effectively with internal teams, external partners, and customers.
- Problem-Solving: Proactive and resourceful, with the ability to troubleshoot issues and suggest improvements.
- Team Player: Collaborative, adaptable, and willing to get involved in a wide range of tasks to support the team.
- Passion & Initiative: A genuine interest in retail, consumer goods, and building efficient processes.
- Energy & enthusiasm: A go-getter with a positive attitude who thrives in a dynamic, fast-paced environment.
