Senior Executive Assistant role at Avatar International SA. Hybrid - Manchester (2-3 days/week). Reporting to: Three Senior Executives (CFO, CRO, CTO).

We’re seeking a highly capable, confident, and forward-thinking Senior Executive Assistant to support three senior leaders in a fast-paced, evolving environment. This is not a traditional EA role—it’s a strategic partnership that demands initiative, agility, and a sharp eye for detail. You’ll be instrumental in driving priorities forward, enabling executive focus, and contributing to high-impact projects that shape our client’s future.

Key Responsibilities & Performance Expectations

Executive Support & Strategic Calendar Management

  • Own and manage complex, fast-moving calendars across board, investor, and SLT engagements.
  • Anticipate conflicts, prioritise meetings, and ensure seamless scheduling.
  • Manage inboxes with autonomy—drafting responses, escalating key issues, and ensuring timely follow-through.
  • Prepare daily briefings, agendas, pre-reads, and follow-ups with precision and foresight.

Communications & Stakeholder Engagement

  • Act as a trusted liaison between executives and internal/external stakeholders.
  • Draft high-quality communications, presentations, and correspondence.
  • Engage confidently with board members, investors, and senior leaders across functions.
  • Ensure prompt and appropriate follow-up on all incoming issues and queries.

Strategic & Operational Support

  • Track key deliverables and ensure alignment with quarterly goals and strategic initiatives.
  • Partner closely with chiefs of staff, departmental heads, and support functions.
  • Handle confidential information with discretion and sound judgement.
  • Manage expenses comprehensively and proactively.

Travel & Logistics

  • Organise complex international and domestic travel itineraries, including visas, accommodations, and briefing packs.
  • Anticipate issues and prepare contingency plans for smooth travel experiences.

Project Ownership & Delivery

  • Lead coordination for Go-to-Market strategy rollouts, stakeholder communications, and workshop scheduling.
  • Track deliverables and drive alignment across teams—bringing clarity and momentum to every initiative.
  • Support leadership offsites, town halls, and internal events from conception to execution.

Special Projects & Strategic Initiatives

  • Beyond core responsibilities, lead and contribute to high-impact special projects that shape our organisation’s future, including cross-functional initiatives to enhance operational efficiency or customer experience, piloting new programmes or technologies, and collaborating with senior leadership on strategic planning, change management, or transformation efforts.

Candidate Profile & Must-Have Attributes

  • Project-Driven: Proven ability to lead initiatives, track deliverables, and drive alignment across teams.
  • Dynamic & Proactive: Not a traditional EA—must anticipate needs, flex across priorities, and thrive in ambiguity.
  • Stakeholder-Savvy: Comfortable engaging with board members, investors, and cross-functional teams.
  • Execution-Focused: Bring energy, ownership, and strategic thinking to every task—whether it’s a board meeting or a leadership offsite.
  • Gravitas and confidence to operate at senior levels with discretion and professionalism.
  • Calm under pressure and skilled at navigating ambiguity.
  • Excellent verbal and written communication skills.

Technical Proficiency

  • Advanced proficiency in Microsoft Office Suite and modern collaboration tools (Teams, Slack, Zoom, Notion, etc.).
  • Comfortable with digital scheduling, expense tools, CRM/ERP systems, and productivity dashboards.

Qualifications

  • Bachelor’s degree preferred but not essential.
  • Minimum 5-8 years of experience in a senior EA or Chief of Staff support role.
