Position Title: Senior Legal Executive Assistant - Part-time (3 days)

Contract: Full-time, Independent Contractor

Working Hours: Wednesday - Friday, 9am - 5pm US Eastern time

Posting Jurisdictions: UK, Canada, Western Europe

Compensation: TBC based on experience and location

Role

In this role, you will provide a first-class service to our Partners and internal stakeholders, while managing schedules, calendars and travel appointments. Collaborate with other team members globally, dealing with varying communications from both internal and external parties.

NB: You will work Wednesday, Thursday and Friday, job-sharing with another EA who works Monday and Tuesday. As our attorneys are US-based you must be able to work US Eastern Time 9.00am-5.00pm.

Responsibilities

  • Provide first-class service to Partners and internal stakeholders, manage schedules, calendars and travel arrangements.
  • Collaborate with other team members globally; handle communications from internal and external parties.
  • Support Partner time tracking, draft client engagement letters, document formatting, use the task management system (tracking responsibilities) and perform ad-hoc research to support partner projects.
  • Ensure all administrative tasks are completed quickly and accurately with attention to detail; prioritize, liaise with stakeholders, and help achieve goals.

Requirements

  • 8+ years of senior administrative support experience in a Law Firm
  • Remote working experience essential
  • Fluent English (verbal and written)
  • Proficiency in MS Office, particularly Excel and Word (fact/spell checking, formatting, proofreading)
  • Calendar and inbox management, travel planning, and scheduling
  • Ability to remain poised under pressure, multitask, and prioritize effectively
  • Ability to handle sensitive information confidentially
  • Effective communication with Senior Managers/Partners and clients in a timely manner
