What you'll do:
As a Team Administrative Assistant based in Glasgow, you will be at the heart of the organisation's operational success. Your role will involve supporting a large team across multiple locations by managing complex schedules, facilitating meetings, organising travel logistics, and ensuring that all administrative processes run smoothly.
- Provide comprehensive administrative support across all functions within the Fund Services teams in Glasgow and London, assisting colleagues with day-to-day operational needs.
- Support management groups by maintaining calendars, coordinating meetings, arranging conference calls, and managing logistics for visiting team members.
- Organise agendas and ensure smooth execution of plans for visiting staff members, including travel coordination and lodging arrangements.
- Manage office housekeeping responsibilities and security protocols to maintain a safe and efficient workplace environment.
- Collaborate closely with other Administrative Assistants globally to arrange conference calls, book meeting rooms, and share best practices for effective teamwork.
- Facilitate onboarding processes for starters, leavers, and transfers within the department by handling system access requests and card distribution.
- Coordinate travel arrangements for staff members including booking accommodations and submitting expense claims related to business trips or client visits.
- Complete expense claims accurately while providing advice on policy compliance to the wider department, ensuring adherence to organisational guidelines.
- Participate in ad hoc projects and provide miscellaneous support as required by management or team members.
- Stay current with office procedures, technical training requirements, policy guidelines, and compliance standards to ensure consistent quality in administrative tasks.

- Demonstrate excellent communication skills that enable you to interact effectively with colleagues at all levels across different departments.

- Adapt easily to fast-paced environments where priorities may shift rapidly without compromising on quality or accuracy.
- Proficiency in Microsoft Office applications is essential-especially Outlook for email correspondence, calendar management, and contact organisation; familiarity with Excel, Word, internet research tools is highly beneficial; experience using Concur is considered an advantage.
- Maintain up-to-date knowledge of office procedures as well as technical training relevant to your role so you can respond confidently to new challenges.
- Understand policy guidelines thoroughly along with compliance requirements so you can advise others appropriately regarding expenses or administrative matters.
