The Team Assistant will provide support to the Executive Assistant with administrative, organisational, and logistical tasks to ensure that the London team operates efficiently and effectively. This role will be the first point of contact for employee queries, handling travel bookings, maintaining accurate ordering of supplies, and delivering flexible, responsive support across the business as well as streamlining processes, managing communication, and to free up time for team members to focus on their core responsibilities.
Here’s a breakdown of what you’ll be doing:
- Welcoming visitors, providing a professional first impression
- Perform routine administrative tasks to support smooth daily operations.
- Prepare meeting rooms to a high standard, ensuring cleanliness, working equipment, and lunch/refreshments are provided when required.
- Order and manage stock levels for kitchen, office, and stationery supplies for London office.
- Sort, distribute, and process incoming and outgoing mail and packages.
- Co-ordinate travel bookings for employees when requested.
- Consolidating the teams company credit card expenses and personal expense claims.
- Communicate professionally on Microsoft Teams and Outlook, maintaining a helpful and positive tone.
- Supporting with new hires interview scheduling and onboarding logistics
- Organising team engagement activities and socials.
- Support the Executive Assistant with administrative tasks and ad-hoc projects.
- Always maintain confidentiality and demonstrate a professional, approachable attitude.

- Minimum 1–2 years’ experience in a similar administrative role, ideally within a fast-paced, high-growth environment.
- Strong IT skills are essential, with a good working knowledge of Microsoft Office (including Outlook, Word, and Excel), Microsoft Teams, email systems, and online ordering platforms.
- Excellent verbal and written communication skills with a professional email and telephone manner.
- Exceptional attention to detail and follow-through, with the ability to focus and remain organised in a busy, interruption-prone environment.
- Strong multitasking and organisational skills; able to prioritise workload independently.
- Discreet and trustworthy when handling confidential information.
- Willingness to jump in and help out the teams and support on wider business projects when required.
- Reliable and punctual, with flexibility to work additional hours on occasion to meet business needs.
- Direct impact on customer experience and team performance through the quality of the tasks performed or services provided.
- Good verbal and written communication with colleagues and/or customers.
