Trustee Co‑ordination Associate
Salary starting from £41,975 if London based or £36,004 if Sheffield, plus 10% annual bonus potential, 25 days annual leave plus bank holidays rising with service and a company pension scheme with highly competitive contribution rates. Permanent, Full time.
You can be based at either Royal Mail Farringdon (EC1A 1AA) or Sheffield Pond Street (S98 6HR). This role requires occasional office attendance, typically 1-2 times per month, in line with business needs.

The plan is overseen by the Trustee Board, supported by our Executive Team, who ensure everything runs smoothly day‑to‑day. We’re looking for a Trustee Co‑ordination Associate to join this Executive team.

About the Role
Reporting to the Trustee Co‑ordination Manager, you will work closely with them to ensure the Plan runs efficiently and effectively on behalf of the Trustee.
Responsibilities
- Plan and co‑ordinate Trustee and internal meetings, including diary management, room bookings, and logistics
- Arrange travel and support event logistics for stakeholders and team members
- Maintain organised systems and documentation, including filing, compiling information, and tracking actions
- Review and prepare documents for accuracy and quality
- Support projects and initiatives, including pensions roadshows and Trustee activities
- Take notes, record actions, and ensure timely follow‑up across meetings and projects
- Liaise with third parties and internal teams to ensure smooth delivery of information and outcomes
- Attend Trustee meetings to provide co‑ordination and operational support
About You
- Strong organisational skills and adaptability
- Ability to build positive relationships with diverse stakeholders
- Excellent verbal and written communication with attention to detail
- Confidence in diary management and stakeholder engagement
- Experience in fast‑paced environments, working proactively, with tight deadlines
- Ability to manage actions and deliverables effectivelyProficiency in Microsoft Word and Excel
- Experience taking notes and reviewing documents for accuracy
