Overview

We are advertising for an experienced Admin Team Leader to support the Clinical Administration Secretarial Team within Cardiology. This is a varied and demanding role split across two locations: Royal Papworth Hospital (Cambridge) and Kingfisher House (Huntingdon). Remote working will be offered upon completion of training.

Main duties

The postholder will provide direct line management for a large team of Medical Secretaries and liaise closely with other Admin Team Leaders in Thoracic and Surgery and Transplant, Business Manager, Deputy Service Manager and Service Manager. They will also build strong relationships with Operational and Clinical colleagues.

  • To provide leadership and support to all team members, leading by example.
  • Understanding of RTT.
  • Monitor workload of the team and provide cover for annual leave/sickness.
  • Produce reports and manage data as required by the Service Manager.

Abilities

  • Excellent communication skills, verbal and written.
  • Ability to have difficult conversations.
  • To prioritise workload and adjust to conflicting demands and know when to escalate.

Person Specification

Qualifications – Essential

  • Degree level or NVQ Level 4 qualification in Administration/Management or equivalent experience.

Experience – Essential

  • Demonstrable evidence of people/line management experience.
  • Experience using complex medical terminology.
  • Experience using Microsoft Office applications.
  • Experience with complex, non-routine and ongoing diary management or secretarial duties.
  • Experience producing reports from databases and project management.
  • Knowledge of standard administration systems, tasks and processes.
  • Experience in a customer care environment or busy administration team.
  • Good understanding of patient information systems and Referral to Treatment (RTT).
  • Ability to input data accurately into patient systems.
  • Ability to communicate non-routine, complex or sensitive information effectively.
  • Ability to plan ongoing, non-routine or complex activities with forward planning.
  • Attention to detail in written and electronic communication and information storage.
  • Ability to work as part of a multi-disciplinary team to provide high-quality secretarial/administrative support.
  • Ability to organise, prioritise and adjust workload for self and others over timescales beyond 6 months.
  • Ability to implement complex projects across the department.
  • Ability to propose changes to policies and procedures in own area.
  • Authorised signatory or delegated budget holder.
