Responsibilities

Team Support

  • Act as the primary point of contact for scheduling, diary management, and meeting coordination (internal and external).
  • Liaise and build a relationship with key clients (Maria, Jo) PAs and work together to navigate busy diaries.
  • Work with Project Management and Account Management to prepare agendas, circulate meeting materials, and capture/distribute meeting notes and action items.
  • Help to manage team travel and logistics (including client meetings, shoots, and events).
  • Help to maintain accurate filing systems, contact lists, and team documentation on our Box drive.

Project & Campaign Support

  • Assist with status reports, ensuring up to date and ready for team status meeting. Collaborating with Account Managers and Project Management.
  • Help monitor deadlines on status and flag risks to account teams.
  • Support Account Managers / Directors in preparing client presentations and decks (PowerPoint/Keynote).
  • Manage document formatting, proofreading, and ensuring consistency with brand/client standards.
  • Handle client-related administrative requests promptly.

Finance

  • Assist Account Managers with logging and tracking budget spend.
  • Maintain financial trackers and reconcile project costs with finance teams.

Team Culture

  • Help organise team events.
  • Contribute to a positive team culture by being proactive and collaborative.
  • Act as a central hub for information-sharing across departments.
