Overview
Endoscopy Booking Waiting List Officer – County Durham & Darlington NHS Foundation Trust. The closing date is 20 October 2025. Interviews will be held on Wednesday 29 October 2025. The role is 37.5 hours per week, Monday to Friday, with the option for hybrid office and home working.
Main duties of the job
- Adding patients to the Endoscopy Waiting List in accordance with policies and procedures.
- Managing waiting lists across specialties Trust-wide to ensure efficient and effective use of theatre sessions, in line with Government Access Standards, NHS Constitution and Trust Patient Access Policy.
- Informing patients of cancelled admissions/appointments and arranging new dates/times, handling sensitive information with discretion, and explaining the process criteria for each hospital site.
- Booking theatre scheduling and coordinating Pre-Assessment where required, within agreed timescales.
- Maintaining administrative tasks associated with managing a diagnostic elective waiting list.

Job responsibilities
- Booking patients into theatre scheduling, using knowledge of administrative procedures, systems, problem solving and progress chasing to meet 18-week diagnostic cancer and 28-day rescheduling targets.
- Planning theatre/procedure lists up to six weeks in advance to meet timescales and targets.
- Liaising with the anaesthetic department to arrange specialist anaesthetist review for some paediatric or regional block cases.
- Liaising with booking co-ordinators in other services (e.g., prison service and private sector) while following Trust security, information governance and confidentiality protocols.
- Communicating with consultants, nurse practitioners, patients and GP/administrative staff; maintaining patient electronic records and ensuring information is up to date.
- Monitoring waiting lists and informing patients and GPs of status changes in a sensitive and appropriate manner.
- Providing flexible support to cover departmental demands and colleagues’ absence when required.
Person Specification
Qualifications
- Good standard of education with 5 GCSEs (including English and Maths) or equivalent experience.
- NVQ Level 2 in Business Administration or Customer Service.
Special Requirements
- Excellent interpersonal and communication skills; ability to work with diverse groups and handle sensitive information.
- Professional telephone manner and ability to use own initiative under pressure.
- Empathetic approach to distressed individuals and knowledge of pre/post operative information for patients.
- Able to adapt to changing demands and maintain confidentiality and data protection.
- Ability to use information governance principles and maintain accurate patient records.
Special Skills & Knowledge
- Experience with Microsoft packages; ability to work to tight deadlines and targets; strong planning and problem-solving skills.
- Highly organized with the ability to prioritize own workload and work as part of a team.
- Knowledge of data protection, Caldicott principles and Information Governance.
- Experience providing non-clinical advice to patients and dealing with appointments; ability to escalate as needed.
- Understanding of NHS performance targets and medical terminology.
Experience
- Relevant administrative experience, preferably in the NHS or healthcare environment.
- Experience in customer service and dealing with the general public.
- Experience in maintaining work standards and handling complex situations with professional judgment.
- Knowledge of RTT 18-week pathway and other NHS pathways.
- Previous NHS experience in reception, waiting lists or related administration roles.
