Location: Hybrid with time mainly spent in our Surrey office with some travel to Kent

The Role
We are seeking an experienced and self-led HR Manager to be the primary point of contact for all people-related inquiries and lead the people strategy within CoSourced Group. This role involves providing day-to-day advice, guidance, and coaching to managers to ensure effective team leadership, drive performance, and cultivate an inclusive, high-performing culture. The HR Manager collaborates closely with the Finance Manager to deliver exceptional HR services and support throughout the business, encompassing payroll and pay reviews, while maintaining meticulous attention to detail and data accuracy. It's an excellent opportunity for a people-focused professional with substantial experience in employee relations who enjoys being involved in diverse HR projects and activities.
Your Responsibilities
Talent Acquisition:
- Support and advise hiring managers on recruitment processes and best practices.
- Revise job descriptions and publish vacancies on ATS and other platforms.
- Liaise with recruitment agencies as appropriate.
- Coordinate the appointment process for successful applicants (employment contracts, onboarding documentation, right-to-work checks, references, etc.).
- Support line managers during probationary periods.
People Operations:
- Own the company's performance management frameworks and be responsible for ensuring it’s adhered to and delivered across the business consistently. This includes working with managers to build development plans for their team and create a learning culture across engineering, helpdesk, and support staff.
- Manage the employee lifecycle in line with company policies and processes (onboarding, offboarding, family-friendly policies, etc.).
- Drive excellence and efficiency with people processes (Starters, leavers, contractual changes, absence management) so that all processes are completed accurately and on time to meet finance deadlines.
- Support with the people inbox and escalate queries to the appropriate level for resolution.
- Create and maintain accurate and up-to-date HR templates, scripts, and documentation.
- Deliver the implementation of people agenda initiatives and ensure continuous enhancement of people-related processes.
- Support other people processes as appropriate (annual appraisals, contract changes, etc.).
- Manage holiday requests, including quarterly reporting and monitoring during busy periods.
- Assist with reviewing and drafting new or existing policies.
- Manage all absences, including sickness, family leave, and jury service.
- Lead the company's succession planning process and identify skills gaps using a regular analysis process.
- Monitor and influence staff engagement and lead retention strategies.
- Overseeing the recruitment process to ensure new starters are being brought into the business in line with the company's performance criteria and salary bandings.
Employee Relations
- Advise managers on HR policies, procedures, and best practices, escalating complex issues when needed.
- Professionally manage employee relations issues end-to-end, including performance, attendance, disciplinary, and grievance matters, ensuring fairness and consistency.
HRIS & Payroll:
- Ensure HRIS BrightHR/Atom and payroll databases are accurate and up to date.
- Support with the collation of payroll information with finance in a timely manner.
- Support with the development of the HRIS.
- Provide timely input on people analytics, data insights, and reporting.
Culture and People Experience:
- Responsible for coordinating internal communication and company updates.
- Coordinate quarterly employee gatherings and events.
- Proactively identify opportunities and implement solutions to foster a positive working culture and improve employees' experience.
Training and Development
- Oversee the training programs for HVAC and fire/smoke system technicians, ensuring they remain up-to-date with the latest industry standards, safety certifications, and technological advancements.
- Ensure employees, especially engineers, receive mandatory health and safety training (OSHA, fire safety protocols, etc.).
- Develop or source training programs to improve communication, customer service, teamwork, and management skills for office employees.
- Coach, train, and develop line managers to be the best for their team and show them how to manage challenging conversations effectively.
- Hold managers accountable for their roles and responsibilities.
Health and Safety Compliance
- Ensure the company adheres to all industry-specific regulations, including HVAC, fire, and smoke systems, as well as general workplace health and safety standards.
- Conduct regular safety audits, develop risk management plans, and ensure all engineers are equipped with necessary PPE (personal protective equipment) for on-site work.
- Maintain records of workplace incidents, ensure that accidents are reported, and investigate any safety violations or risks.
Performance Metrics & Indicators
- Timeliness and accuracy of HR operations and payroll inputs.
- Manager and employee satisfaction with HR support and advice.
- Effective management of employee relations cases and compliance.
- Successful implementation of people agenda initiatives.
- Accuracy and completeness of HRIS data.
What we’re looking for:
Education & Experience:
- 5+ years of relevant experience in a similar HR role.
- Experience working in a fast-paced environment, managing multiple tasks.
- Up-to-date and comprehensive knowledge of HR practice, concepts, and themes, including employment law and employee relations issues.
Technical Skills:
- Experience with people systems (HRIS, e-learning platforms).
- Proficiency in Microsoft Office Suite.
Soft Skills:
- Ability to listen, consider alternatives, and manage diverse viewpoints with emotional intelligence.
- Able to plan and prioritise, using own initiative to meet deadlines and customer expectations.
- Ability to form positive working relationships with all stakeholders, and confidently advise employees and frontline managers.
- Excellent communication skills (verbal and written) that can reach a diverse audience.
- Detail-oriented with excellent organisational and multitasking abilities.
- Positive team player with a can-do attitude and friendly approach.
- Acts as a role model, demonstrating and leading on values, challenging behaviour, and supporting the development of the organisation's culture.
