Overview

We are looking for an amazing Operations Manager for a city-based boutique Legal Recruitment firm. The role is hybrid with 2 days in the office based near Bank Station, 3 days WFH. You will be supporting a close-knit, friendly, but incredibly busy team. The role is varied and will keep you on your toes!

We are looking for a candidate who has worked in a similar role and can bring a diverse skillset to help the office. You will also be supporting the Director with PA duties. A Recruitment/legal background could be beneficial for this position, but not essential.

Responsibilities

  • Operations Management
  • Dealing with office landlord in relation to the lease and rent
  • Ordering office supplies and hardware
  • Organising all team and client events and meetings
  • Managing insurance coverage (reviewed annually)
  • Liaising with suppliers – database, IT support, advertising, software
  • Managing Nest Pension Scheme
  • Creating, updating and maintaining company policies
  • Managing phone contracts
  • Recruitment and Admin Support
  • Liaising with clients and candidates to organise interviews
  • Formatting CVs and business plans using Word/PowerPoint
  • Loading candidate CVs to job portals
  • Collating information for candidates re: jobs
  • Using search databases to create market maps
  • Maintaining company database
  • Responding to client pitches and tenders, supplying market data requested by clients
  • PA Support – diary organisation, restaurant bookings and travel
  • IT – dealing with all IT related matters including annual audits and security in conjunction with IT support company
  • Onboarding/Offboarding
  • Finance – invoicing/billing/expenses using Xero accounting software
  • Chasing unpaid invoices; tracking and recording all billing; ensuring database and operations finance documents balance
  • Management of company bank account
  • Paying company VAT and Corporate Tax
  • Marketing and Business Development – managing company LinkedIn account
  • Producing content for social media channels and website
  • Writing recruitment adverts
  • Producing market and salary updates for clients and candidates
  • Creating marketing and business development materials such as NQ and PSL handbooks
  • Website management and updating in conjunction with web/design agency
  • Managing domain names via Go Daddy; dealing with domain name/trademark issues in conjunction with lawyers
  • Compliance and Certifications – managing GDPR process and REC membership information
  • ICO – check auto-renewal annually, make any necessary updates and download certificate
  • Maintaining Cyber Security, Cyber Essentials annual certification, in conjunction with IT support company
