Main duties of the job

The Recruitment and Onboarding Officer will coordinate thefull recruitment lifecycle and the seamless introduction of new colleagues.This role ensures every vacancy is filled efficiently, all compliance checksare completed accurately, and each new starter experiences a well-structured,welcoming induction.

What you will do

  • Craft andpost engaging adverts across our website, social media, and specialistplatforms
  • Guide hiringmanagers through end-to-end recruitment processes and deliver targeted training
  • Organiseinterviews, assessment centres, and practical exercises
  • RepresentInvicta Health at recruitment events and virtual career fairs
  • Sourcepassive candidates, talent-map hard-to-fill roles, and run social mediacampaigns
  • Track andanalyse recruitment metrics, reporting insights to HR leadership
  • Collectfeedback from new starters to drive continuous improvement

How you will support new joiners

  • CoordinateDBS checks, references, occupational health screenings, and professionalregistration checks
  • Set upcolleagues on HR systems, coordinate IT and access badges
  • Draft offerletters, contracts, and induction schedules
  • Booking rooms, arranging lunches, and briefing delivery managers

Job responsibilities

Main Responsibilities

Verifyapproved recruitment authorisations and confirm that up-to-date job profilesare in place.

Draftand place high-quality recruitment advertisements on our online platform,social media channels, and any other appropriate resource to attract a wide,diverse pool of candidates.

Liaisewith recruitment agencies as needed, negotiate fees, and support thefinalisation of agency-sourced appointments.

Provideguidance to hiring managers on the end-to-end recruitment process, includingtraining.

Organiseand facilitate interviews and assessment centres, coordinating any practicalexercises or tests required.

Attendrecruitment open events and virtual career fairs.

Researchand implement innovative sourcing solutions for hard-to-fill roles, includingtalent-mapping, passive candidate engagement, and social media campaigns.

Buildinternal and external talent networks to support future succession planning,arranging job-shadowing opportunities and taster days.

Produceand analyse recruitment metrics, monitor key performance indicators, and reportinsights to the HR Manager and Director of People.

Gatherfeedback from new starters on the recruitment, onboarding, induction, andprobation processes and recommend continuous improvements.

DBSapplications and renewal monitoring

Qualificationsand competency requirements for clinical roles

Occupationalhealth referrals and clearance, flagging required adjustments

GMC/NMCpin checks, NHS Performers List inclusion, and clinical indemnity verification

DSEassessments for office and home workers

Workwith the Primary Care & Urgent Treatment Services Operational Manager toensure appropriate vetting for locum staff and that all locum staff havecompleted their onboarding documents.

Setup new colleagues on the HR system, order ID/access badges, and liaise with ITto ensure equipment is in place for Day One.

Processoffer letters and contracts of employment

Supportline managers with the coordination of inductions

Organiseinduction day, including booking the room, ordering lunch, ensuring deliveringmanagers are attending

Monitorand administer the probation process, chasing managers to ensure timelycompletion, recording details on the HR system, issuing letters to the staffand escalating concerns to the HR Advisor and HR Manager

Stepin to support the HR Advisor and HR & Payroll Officer during peak periodsof administrative tasks

General Duties

Towork collaboratively and professionally with colleagues across Invicta Health,building and maintaining relationships.

Tocontribute to the development of services, including processes, templates andprinciples.

Any other reasonable duties as directed by your linemanager.

Due to the changing nature of Invicta Health, jobdescriptions will evolve and are therefore subject to periodic review.

Person Specification

Qualifications

  • Evidence of continuous professional development

Experience

  • Knowledge of office management systems and procedures
  • Experience of working with Microsoft packages including, word, excel and power point
  • Experience of work involving regular and accurate data inputting
  • Proven track record in full-cycle recruitment, ideally within healthcare.
  • Demonstrable success attracting hard-to-fill candidates through creative sourcing methods.
  • Experience of working in a HR/workforce Administrative role and understanding of HR processes.
  • Previous experience of the HR management system Cascade
  • Knowledge and understanding of employment legislation
  • Previous administration experience within a medical environment
  • Knowledge and understanding of the National Health Service
  • Experience negotiating agency fees and managing contractor compliance, including IR35 processes
  • Skilled in using social media for employer branding
