Role Overview

This hybrid role provides high-level executive and governance support to the Chair and Members of the SJ Council of Engineering Excellence (CoEE), ensuring the smooth operation of strategic and technical leadership forums across SJ Group’s global engineering functions. The successful candidate will be a proactive, highly organised professional with a strong ability to manage complex schedules, communications, and committee governance processes.

Responsibilities

  • Executive Assistant Duties
  • Manage complex calendars, international travel, and meeting logistics across time zones.
  • Coordinate travel bookings, approvals, expenses, and procurement in line with company policies.
  • Screen emails and track key actions and initiatives.
  • Prepare reports, presentations, and briefing materials for senior stakeholders.
  • Maintain confidentiality and act as a trusted liaison across departments and regions.
  • Identify and address opportunities for process improvement.
  • Provide ad-hoc cover for other Senior Assistants as needed.
  • Committee Secretary Duties
  • Maintain a rolling schedule of committee business and strategic initiatives.
  • Schedule and coordinate meetings, prepare agendas, and ensure meetings run to time.
  • Draft and distribute meeting papers, minutes, and action trackers.
  • Communicate outcomes and follow up on actions across global stakeholder groups.
  • Support committee budget tracking and resource allocation.
  • Coordinate logistics for global events (e.g., Townhalls, Workshops, Leadership Forums).
  • Support governance of subcommittees (e.g., TLGs, GECs, E&T Working Groups).
  • Maintain governance records and ensure compliance with confidentiality standards.
  • Manage and update CoEE intranet pages in collaboration with Brand & Communications.

Qualifications

  • Proven experience supporting executives or working directly with senior stakeholders.
  • Proficient in all programmes in Microsoft Office 365.
  • Strong calendar management and travel coordination (domestic & international).
  • Excellent verbal and written communication.
  • Highly organised with attention to detail.
  • Discretion, diplomacy, and sound judgment.
  • Comfortable working across time zones.
